Overview

The Grants Coordinator plays a key role in supporting the grants management function to help achieve organizational goals and ensure effective administration of grant-related activities. Working closely with the Grants Managers and Health Planner, this position focuses on administrative tasks, including maintaining grant files, tracking deadlines, and inputting data into the organization's grant tracking system. The Grants Coordinator will ensure the smooth and accurate processing of grants, serving as a critical support in the grant lifecycle. This position reports to the Director of Grants Administration.

This is a full time, exempt, benefit eligible position in Berkeley, CA.

Benefits

Compensation: $66k - $67k/year. We offer excellent benefits including: medical, dental, vision (including dependent and domestic partner coverage), generous leave benefits including ten paid holidays, Flexible Spending Accounts, 403(b) retirement savings plan.

Responsibilities

    Grant Administration Support:
    • Assist the Director of Grants Administration, the Grants Managers, and other members of the Planning Department in developing supporting documents, and organizing and packaging grant applications, ensuring all documentation is accurate and complete.
    • Develop grant-related announcements for internal teams and assist in scheduling relevant grant activities.
  • File and Data Management:
    • Maintain organized digital and physical files of grant proposals, contracts, and reports.
    • Input data into the grant tracking system, ensuring timely updates on key deadlines, deliverables, and requirements.
    • Manage and update the grants calendar, including tracking application submission deadlines, reporting schedules, and renewal timelines.
  • Data Requests and Reporting:
    • Coordinate with program and finance teams to request necessary data for grant proposals and reports.
    • Assist in preparing data for internal and external reporting, ensuring accuracy and compliance with funder requirements.
  • Internal Collaboration and Communication:
    • Serve as a key point of contact for coordinating administrative details with internal departments.
    • Support communication of grant updates and deadlines to program staff and other internal stakeholders.
  • Grant Tracking System Management:
    • Oversee the input and maintenance of grant information in the organization's tracking system, ensuring all details are up-to-date and accurate.
    • Run regular reports from the system to track grant progress and compliance requirements.
  • Compliance and Documentation:
    • Ensure all required documents for grant compliance are filed appropriately and accessible for audits or internal reviews.
    • Monitor adherence to grant guidelines and funder requirements as it relates to data entry and administrative processes.
  • General Support:
    • Provide administrative support to the Director of Grants Administration, the Grants Manager, and other members of the Planning Department, including scheduling meetings, compiling materials for grant submissions, and tracking pending tasks.
    • Assist in preparing correspondence with funders, partners, and internal teams.

EDUCATION AND REQUIRED CREDENTIALS:
  • Associate's degree in healthcare administration, public health, or related field, or equivalent years of relevant experience.
  • At least two years of successful grants coordination experience with a non-profit or public agency.
EXPERIENCE AND SKILLS:
  • Strong organizational skills, with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Experience with data entry and grant tracking systems (e.g., Raiser's Edge) preferred.
  • Excellent attention to detail and the ability to maintain accuracy in data and record keeping.
  • Strong communication and interpersonal skills for coordinating with internal teams.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
