Business Unit Accountant/Administrator

Job Description/Tasks/Responsibilities

  • Responsible for providing comprehensive accounting and business unit administrative support, including project accounting, customer invoicing, revenue recognition, contract administration, financial reporting, reconciliations, budgeting support, procurement coordination, and general business operations. Serves as a key liaison between Operations, Project Management, Business Development, Corporate Accounting, and customers to ensure accurate financial reporting, efficient administrative processes, timely customer billing, contract compliance, and effective day-to-day business unit support.
  • Prepares and processes required accounting entries in accordance with project requirements.
  • Ensures contract compliance for timely and accurate billing and revenue recognition.
  • Prepares monthly financial and management reports and analyzes cost variances.
  • Processes purchase requisitions and supports timely invoice payment.
  • Responds to customer billing inquiries and provides supporting documentation.
  • Coordinates with Finance and Operations to ensure accurate customer billing.
  • Performs cost accounting work covering material and production costs, costs of sales, research, and product development, etc. as required by location.
  • Validates thecost of goods soldas part of the month-end close.
  • Processes customer invoicing, collections, and contract records in QuickBooks and Oracle.
  • Supports customer onboarding and records projects and A/R in Oracle software.
  • Supports collections and reviews unbilled revenue.
  • Enters monthly expense accruals and revenue adjustments.
  • Completes general ledger reconciliations and monthly reporting.
  • Maintains contracts, customer documentation, and project files.
  • Coordinates purchase orders, contract modifications, and funding updates.
  • Tracks accounts payables and reconciles corporate records.
  • Prepares management reports, forecasts, and operating metrics.
  • Coordinates business unit administrative activities.
  • Supports business planning, budgeting, and special projects.
  • Performs other duties as assigned.

Job Requirements/Skills

  • Solid proficiency using Microsoft Excel
  • Strong attention to detail
  • Strong written and verbal communication skills
  • Basic Oracle skills preferred
  • Advanced Quickbooks desktop/online skills required

Physical/Mental Requirements and Working Conditions

  • Ability to use hands to accomplish tasks as assigned
  • Ability to sit
  • Ability to effectively communicate; pass audiogram in hearing conservation program as required by location
  • Basic computer skills
  • Ability to work inside an office
  • Ability to work with others, interact with the public, and perform under deadline pressure

  • Associate's degree required in accounting or 2 years of related experience
