Job Summary

Paradise Valley Community College (PVCC) is seeking an Administrative Specialist Senior for the Physical Sciences Division. This full-time, on-campus role is ideal for a detail-oriented, self-directed professional who excels at building and maintaining high-functioning systems. We are looking for someone with a strong record of reliable, on-site attendance who can provide real-time, in-person support to students, employees, and visitors.

The successful candidate will ensure smooth day-to-day operations, maintain accurate records, and implement quality-controlled processes that enable the Division to operate efficiently. You will work closely with the Faculty Chair to deliver consistent, high-quality administrative support and take ownership of tasks from start to finish. This role is well suited for someone who is comfortable with the natural variability of an office environment and uses quieter periods productively.

This position requires a consistent on-campus presence during all scheduled hours. Candidates seeking remote work options should consider other opportunities, as this role serves as the primary in-person point of contact for the Division during posted business hours.

Essential Functions

This is a full-time, fully in-person role. The position requires a reliable on-site presence during all scheduled hours. The office experiences periods of low traffic, and the Administrative Specialist Sr is expected to stay present, productive, and proactive throughout the day.

40% Front Desk Presence & Daily Operations
  • Maintain a reliable, consistent on-campus presence during posted business hours.
  • Serve as the primary point of contact for students, employees, and visitors, addressing questions and directing complex issues.
  • Monitor, organize, and manage the office environment, resolving routine problems independently and keeping operations professional and functional without close supervision.

30% Administrative Coordination & Systems Support
  • Use college systems to support the Chair and Division in all administrative processes, demonstrating attention to detail and consistent follow-through.
  • Manage facilities requests, purchases, requisitions, and deliveries, tracking progress to completion and monitoring budgets with care and precision.
  • Maintain accurate academic and administrative records.
  • Develop internal quality control systems that ensure consistent high-quality work without external review.
  • Establish and evolve professional routines and practices that ensure Division needs are met reliably and consistently with minimal oversight.

20% Faculty & Student Support
  • Ensure faculty needs are met and classrooms and instructional spaces are prepared and functional.
  • Assist students with enrollment, scheduling, and campus resource navigation, directing inquiries appropriately and accurately.
  • Support the Chair in daily operational matters.

10% Other Duties as Assigned

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

1. A record of reliable and consistent in-person attendance for the full scheduled shift.

2. Strong organizational skills, good judgment, attention to detail, and the ability to work independently, take initiative, and implement professional quality control processes that ensure tasks are completed accurately and to a high standard without close supervision.

3. Creative capacity to provide administrative support as new needs arise.

4. Proficient in Maricopa administrative systems (e.g., 25Live, Employee Learn Center, ERS, FMS, the various Google Workspace apps, HCM, and SIS)

5. Ability to follow established processes for approvals, tracking, and documentation, in a timely and reliable way.

6. One year of full-time relevant MCCCD experience during the previous two years.

For the following systems or like systems relative to the functions - 25Live (calendar and scheduling software), Employee Learn Center (training platform), ERS, Financial Management Systems, Google Workspace apps, Human Capital Management (HCM), and Student Information System (SIS)- explain how each would be used to support the operation of an academic division at a community college. For each system, provide an example of an advanced function you are capable of performing.


  1. Tell us about a job responsibility you've fulfilled where you needed to follow established protocols. What process did you develop to get approvals, track, and document the activity? How did you determine the work was completed to a high standard without relying on someone else to check your work?
