Position: Summer Intern, Entry Level - Internal Operations

Work Location: Cobec Site - DC

Function: Administrative, Part-Time (24 hours/week)

Salary: $18.50/hourly rate

Job Summary

We are looking for someone organized, proactive, and energetic who loves to solve problems and create best practices to serve as a summer intern at our Washington, DC office.

The ideal candidate will thrive navigating a fast-paced environment where things constantly evolve and change. The selected candidate will gain vast experience supporting multiple areas within our firm and because of the many support roles that this position fulfills, it is considered an integral part of our organization. The individual chosen for this role will need to build lasting relationships with others, both within our organization and externally.

Relevant Experience

This position requires 0-2 equivalent years of working as an office manager or similar experience.

Essential Job Functions

The following duties are normal for this position. The omission of specific statements of duties does not exclude them from this position if the work is similar, related, and/or a logical assignment for this position. Other duties may be required and assigned.

IT Support:

  • Recurring/Ongoing Tasks:
    • Key Fob & Access Requests - Process new badges, mobile badges, guest badges, gym access, and bike room access requests. Coordinate with building management on required forms and signatures.
    • Key Fob Offboarding - Cancel and collect physical fobs for departing employees. Update access records accordingly.
    • Conference Room Checks - Weekly walkthrough of all 10 conference rooms. Start a live test meeting to verify mics, cameras, and audio. Check AV equipment, whiteboards, markers, and cables. Flag if there are any issues.
    • Hot Desk Checks - Weekly walkthrough of all 60 desks. Verify keyboard, mouse, monitor, and docking station connections. Check cable tidiness and labeling. Update desk assignment tracking.
    • Door Unlocks - Unlock and secure building access for after-hours events and gatherings as needed.
    • Visitor Management - Setup a guest/visitor log (clipboard or iPad.) Manage visitor check-in and access once Datawatch is rolled out.
    • Shipping Support for Onboarding/Offboarding - Coordinate shipping of laptops/equipment to new hires and coordinate return of equipment from offboarded employees. Update equipment trackers.
    • Review and update PIV card and GFE return process guide. Share with leaders.
  • Specific Projects:
    • Key Fob & Access Audit and Procedure - Reconcile all digital and physical fobs against the current employee roster, cancel outdated access, and document a standardized process.
    • Hot Desk Program Launch - Audit all 60 desks, clearly label and organize each one, and build a desk assignment tracking document.
    • Conference Room Baseline - Audit all 10 conference rooms, document equipment and supplies, and create the recurring check template.
    • Organize Employee Resources Folder - Archive old files, update branding and naming conventions to ensure uniformity, review PDFs with instructions to ensure clarity and accuracy, update as needed.
    • Create User Guide for IT setup for large meetings in the Cafe and OneCobec Room.

People Services/Finance Support:

  • Recurring/Ongoing Tasks:
    • Mail Management - collect, open, scan, and save mail in appropriate folders in OneDrive and send important information to appropriate parties.
    • Send 1099 meet and greet invites for leaders, as needed.
  • Specific Projects:
    • Research Power Automate and how we can use it to streamline reminders and processes.
    • Leave Information Management (FMLA, STD, LTD, Parental Leave) - Update leave information PowerPoints and guides in Employee Resources folder. This includes the Flow Chart, Fact Sheet, Timeline, Task Owners, and SOP PDF.
    • Employment Transition SOPs - Create and document the process for a W2 employee to transition to a 1099 and vice versa. Include details on PTO, benefits, salary, Unanet profile, W9, differences between the two classifications, etc.
    • Support Annual Training Month (August) - Review, update, and edit annual training PowerPoints and assist in the rollout and management to ensure all trainings are completed.
    • User Guides for CobecU Website - Create guides for both Admins and Employees on best practices and how to use CobecU as a resource.
    • ADP WFN Best Practices - Research how we can better utilize ADP WFN, including housing annual trainings, charity donation matching form, etc.
    • Unanet Admin User Guide - Create user guides on basic Admin functions in Unanet, including how to reopen a locked timesheets, how to add a new project approver, how to change approvers (both project and manager), etc.
    • Contracts Teams Channel Management - Audit all Contracts Teams channels to ensure that all new employees and 1099s are added and remove any employees no longer on the contract.

People Services/Engagement Support:

  • Engagement Initiatives - Support event planning, booking and managing vendors for events, own communications and invites (Outlook and Teams), assist with setup and teardown of events.

Education Requirements

Currently pursuing, or have obtained, a degree in Business, Marketing, Econ or similarly related field.
