DESCRIPTION OF WORK

As an Administrative Assistant I, you will serve as the central point of coordination for incoming petitions and legal documentation, ensuring that every case entering the Board of Finance and Revenue is accurately reviewed, recorded, and advanced. You will intake and initialize all new petitions by docketing them promptly, preparing and issuing formal acknowledgment letters, and ensuring all initial documents are uploaded accurately into the case management system. As an Administrative Assistant I, you will manage the continuous flow of documents throughout the docketing stage and coordinate with administrative staff when supplemental materials or late evidence is received. This position is the primary point of contact for attorney assignment inquiries from external agencies and oversees the finalization and disposition of cases by formally closing them and posting final orders. Additionally, you will assist the administrative team to manage daily front office administrative operations, including handling high volume phone inquiries and processing incoming and outgoing mail to support efficient office workflow.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part -time. Mandatory 3 days a week in the office and work from home (telework) up to 2 days a week. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university; or
  • Any equivalent combination of experience and training.

Additional Requirements:

  • You must have experience using Microsoft applications such as Word, Excel, and Outlook, web-based utilities or the ability to learn relevant software to perform job duties.
  • You must be able to report in-person to work in Harrisburg a minimum of three days a week.
  • You must possess a strong attention to detail and the ability to work independently on assignments.
  • You must attach a resume to your application.

Preferred Qualifications (not required):

  • Familiarity with electronic filing systems and document management protocols
  • Experience managing office communications or organized documents as part of your responsibilities
