Job Summary:
The Sr. Administrative Assistant provides high-level administrative support to Sales leadership, ensuring efficient day-to-day operations and enabling leaders to focus on strategic priorities. This role is responsible for complex calendar and meeting management, reporting coordination, project and event support, and process improvement. Success in this role requires strong judgment, discretion, business acumen, and the ability to independently manage multiple priorities in a fast-paced environment.
What You Will Do:

  • Manage complex calendars and schedule internal and external meetings on behalf of Sales leaders
  • Support and help facilitate partner engagement, including coordinating partner meetings, communications, and event participation
  • Coordinate virtual meetings (Webex/teleconference) and in-person meeting logistics, including locations, catering, materials, and technology
  • Record accurate meeting notes, summarize discussions, and distribute action items
  • Manage email and voicemail on behalf of leaders, prioritizing and responding as appropriate
  • Draft, proofread, format, and distribute professional correspondence, reports, and presentations
  • Support the development of leadership presentations, including Executive Committee materials
  • Identify and support key sales reporting needs across segments and regions
  • Create, run, and distribute recurring and ad-hoc sales reports
  • Validate data accuracy, interpret insights, and ensure reports align with leadership decision-making needs
  • Collaborate with Sales Analytics and Sales Operations to improve reporting efficiency and automation
  • Support special projects and strategic initiatives, including capturing requirements, tracking milestones, and maintaining project documentation
  • Coordinate sales meetings, advisory boards, and team events, including registrations, vendors, budgets, and on-site logistics
  • Track event expenses and ensure adherence to budgets
  • Coordinate leadership travel arrangements and itineraries
  • Prepare, submit, and process expense reports and e-Procurement requests
  • Monitor corporate credit card activity and submit event approvals
  • Manage timekeeping updates and assist with time-off approvals on behalf of leaders
  • Serve as a point of contact for vendors, customer advisory boards, and internal stakeholders
  • Welcome and coordinate visits for internal and external guests
  • Develop a strong understanding of sales segment goals, revenue performance, and reporting cadence
  • Anticipate leader needs and proactively remove administrative burdens
  • Identify opportunities to improve processes, increase efficiency, and standardize workflows
  • Handle confidential and sensitive information with discretion
  • Maintain organizational charts, distribution lists, and account updates
  • Support Salesforce-related updates, account moves, and data validation
  • Order office supplies and coordinate equipment setup (credit cards, mobile phones)
  • Assist with team and departmental initiatives as needed

What We Expect Of You:

  • High school diploma or equivalent
  • Minimum 2 years of experience in Sales, Sales Support, Executive Assistant, or Customer Service roles
  • Proven ability to work independently, exercise sound judgment, and manage competing priorities
  • Advanced Excel skills (including pivot tables, VLOOKUP, macros, and complex formulas)
  • Experience validating, analyzing, and interpreting data
  • Proficiency with Microsoft Word, PowerPoint, and Outlook
  • Strong written and verbal communication skills
  • High attention to detail and organizational skills
  • Ability to adapt in a fast-paced, changing environment
  • Ability to travel up to 10% as needed
  • Ability to remain in a stationary position approximately 50% of the time
  • Bachelor's degree preferred.

Payrange: $22.33 - 35.48, hourly depending on experience and skill set
