POSITION TITLE: Community Center Front Desk Receptionist

LOCATION: Harbor Light

REPORTS TO: Community Center Director

PAY GRADE: 402

PAY RANGE: $17.00 - $20.40

The Salvation Army North and Central Illinois Division provides these services to people in need.

JOB SUMMARY

Ability to work flexible hours depending on programming. Activities and people using the Community Center feel welcome and are kept in a safe and organized environment; facility policies and guidelines are followed; people are greeted and directed to the correct person or department; clerical duties are performed; maintain cleanliness in the front entrance, front desk area; the phone answered in timely manner; and any problems or discrepancies are reported to the Community Center Director.

PROGRAM ENVIRONMENT

The backgrounds of those served by The Harbor Light Program may manifest a variety of inappropriate behaviors. When this occurs, employees are to respond within the context of the church environment of the site. Employee conduct (actions, dress, etc.) and interactions (conversations, written communications, etc.) with those we serve must also be within the environment of the facility.

ESSENTIAL DUTIES AND RESPONSIBILITIES



  1. The front desk is always staffed and maintains an account of who is in the Community Center.
  2. The door and telephone are answered pleasantly and professionally. Callers and visitors are welcomed and directed to the appropriate place/person.
  3. Questions of people walking into the facility and those on the phone are accurately answered. Research will be done when information is not readily available to assure correct information is given.
  4. Accurate messages are taken and given to the appropriate person in a timely manner.
  5. Prepares the cooler for the distribution of donated foods in the morning and cleans the cooler and returns any leftovers to the refrigerator in the evening.
  6. Ensures that all Corps and Community Center statistics are reported to the Community Center Director, accurately and on time.
  7. Policies and procedures of the agency are followed by all persons who enter the Community Center.
  8. Ensures that supplies for the office, warming kitchen, and Corps are kept in stock and ordered as necessary. Maintain a list of all supplies that are needed and fill out the requisition form for the approval of the Community Center Director.
  9. Clerical duties are completed; including copying, making calls, sending emails/letters, collating, bulletin boards, etc.
  10. Confidentially for people coming to speak with a pastor or social worker will be maintained.
  11. The Information tables will be stocked, organized, and kept clean.
  12. The front reception area will be kept clean and sanitized. This includes cleaning the front desk, vacuuming area rugs, sanitizing the desk computer and lab computers, and cleaning front windows.
  13. Assist in the pantry as needed. Follows directives given to help in the daily operation of the pantry.
  14. Assists with the Christmas fundraising and services as needed including: driving, mailing, organizing, working with volunteers, assisting with parties, taking applications, and many other duties.
  15. All other duties as assigned.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES



  • Education: High School diploma or GED equivalent required.
  • Experience: At least two years' experience in secretarial and office work; computer operation and supervision.
  • Bilingual (Spanish) a plus.


JOB LIMITATIONS



  • This individual will only commit Salvation Army resources that have been allocated or approved.
  • This individual will keep the Community Center Director and Corps Officer informed on all critical issues relating to his/her area of responsibility.
  • This position may not charge clients for any service by TSA or offer any private services to clients.
  • This individual will adhere to all Army policies and procedures in carrying out the responsibilities of this position.


PHYSICAL DEMANDS/WORK ENVIRONMENT



  • This position is required to do physical work.
  • In order to successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and PC.
  • Must be able to walk up two flights of stairs and lift up to 75lbs.
  • The work environment for this position includes a Community Center with a high noise level.
  • Must be able to work with clients that have poor social skills, suffer from mental illness, and have substance abuse problems.

REPORTING RELATIONSHIPS



  • This position reports to the Community Center Director.
  • In contacts related to this position's duties, this individual acts as a representative of The Salvation Army and its mission.


PERFORMANCE MEASURES



  • This individual will be evaluated on how effectively the outcomes of this position are achieved, as well as the timeliness, accuracy and completeness of accomplishing assigned goals.
