Shift Details: Monday - Friday 8:00AM - 5:00PM

Pay: $25.00 - $30.00/hr

Responsibilities:

  • Monitor inventory levels daily to maintain optimal on-hand supply while minimizing waste and excess.

  • Run, reconcile, and interpret inventory/usage/backorder reports; identify trends, risks, and replenishment needs.

  • Place purchase orders with pharmaceutical manufacturers and authorized sources using required ordering formats (portal, email, EDI, spreadsheets, etc.).

  • Track order confirmations, shipment statuses, allocations, shortages/backorders; communicate impacts and alternatives to operations and pharmacy teams.

  • Coordinate receiving readiness with onsite teams; ensure timely resolution of discrepancies (shortages, damages, temperature excursions, mis-shipments).

  • Support inventory control activities including cycle counts, inventory adjustments, and investigation of variances.

  • Maintain accurate procurement documentation and records in accordance with internal SOPs and regulatory requirements.

  • Partner with pharmacists/technicians to ensure appropriate product availability for dispensing and to prevent delays to patient therapy.

  • Communicate professionally with manufacturers and internal stakeholders; escalate urgent supply risks with recommended actions.

  • Support continuous improvement efforts (process updates, templates, standard work) to improve accuracy, timeliness, and service levels.

  • Adhere to safety, security, and compliance expectations for a closed-door specialty pharmacy and warehouse fulfillment environment.

  • Provide backup coverage for inventory coordinator tasks as needed and assist with onboarding/training on inventory processes.

  • Performs other duties as assigned.

Experience and Educational Requirements:

A high school diploma or equivalent is required. A college degree is preferred, particularly in business, supply chain, logistics, healthcare administration, or a related field.

Relevant experience may be considered in lieu of any advanced degree. Prior experience supervising inventory activities or managing inventory processes is strongly preferred, including responsibility for ordering, reconciliation, reporting, and resolving discrepancies. Experience in a pharmacy, specialty pharmacy, healthcare, warehouse fulfillment, or other regulated environment is preferred, with familiarity working alongside clinical and operations teams. Candidates should demonstrate a track record of accuracy, strong documentation practices, and the ability to manage time-sensitive work in a fast-paced setting.

Minimum Skills, Knowledge and Ability Requirements:

  • Working knowledge of inventory management and procurement concepts (reorder points, safety stock, lead times, lot/expiry awareness).

  • Ability to run and interpret operational reports; strong proficiency with spreadsheets (e.g., Excel) and comfort working in pharmacy/inventory systems.

  • High attention to detail with demonstrated ability to maintain accurate records and prevent errors in a regulated environment.

  • Strong written communication skills (clear, professional emails; ability to follow manufacturer ordering requirements precisely).

  • Ability to prioritize and manage multiple time-sensitive requests in a fast-paced, high-accuracy setting.

  • Ability to collaborate effectively with pharmacists, technicians, and operations leaders; customer-service mindset.

  • Ability to identify issues, investigate root causes (e.g., discrepancies/variances), and recommend practical resolutions.

  • Comfort communicating with external partners (manufacturers, vendors) and navigating different ordering processes.

  • Basic understanding of compliance expectations in pharmacy/healthcare operations (documentation, privacy, SOP adherence).

  • Ability to work onsite in Brooks, KY and perform standard office/warehouse-adjacent activities (e.g., intermittent walking/standing in a fulfillment environment).
