Practice Patient Access / Front Desk Coordinator Location: Norfolk, VA Schedule: FullTime | OnSite About the Department Highvolume, multispecialtysurgical practice supporting 14 surgeons and 3 Advanced Practice Providers (APPs) across five surgical divisions. The practice delivers comprehensive inpatient and outpatient surgical care and manages an average weekly patient volume of 190-210 visits, requiring efficient, accurate, and patientcentered frontend operations. Surgical Divisions Supported * Acute Care Surgery: Emergency general surgery with 24/7 trauma and critical care coverage * General Surgery: Abdominal, gastrointestinal, endocrine, and hepatobiliary specialties * Plastic & Cosmetic Surgery: Reconstructive and cosmetic procedures, including services through the EVMS Aesthetic Center and Breast Center * Surgical Oncology: Comprehensive, boardcertified cancer surgery * Vascular Surgery: Advanced and minimally invasive vascular disease treatments Position Summary The Surgical Practice Patient Access / Front Desk Coordinator serves as the first point of contact for patients and plays a vital role in ensuring a seamless experience from arrival to checkout. This position supports highvolume frontend operations, including registration, scheduling, insurance verification, and patient communication. All workflows are completed within EPIC, the practice's single electronic health record system. Key Responsibilities Patient Access & Front Desk Operations * Check patients in and out for clinic visits * Collect, verify, and scan insurance cards and photo identification * Update and maintain accurate patient demographics in EPIC * Verify insurance eligibility and coverage prior to appointments * Obtain and confirm preauthorizations as required * Collect copays, outstanding balances, and other pointofservice payments * Manage highvolume incoming phone calls in a fastpaced, multiline environment Scheduling & Appointment Management * Prepare and maintain daily provider schedules * Schedule followup visits, postoperative appointments, and inoffice procedures * Make reminder and confirmation calls to patients * Coordinate referrals and ensure all required documentation is complete * Maintain accurate and timely appointment records within EPIC Administrative & EPIC Support * Ensure all patient paperwork and documentation is complete and scanned into EPIC * Send internal task messages to providers and clinical staff * Collaborate with clinical teams to support efficient clinic flow * Maintain compliance and accuracy in all patient access processes Systems & Technology * EPIC is the sole system used for registration, insurance verification, scheduling, documentation, and communication * All frontdesk and patientaccess workflows are completed within EPIC *Skills* medical reception, emr, schedule appointments, Referrals, Patient registration, Health care, Front desk *Top Skills Details* medical reception,emr,schedule appointments,Referrals *Additional Skills & Qualifications* Previous experience as a Sentara employee (strongly preferred) since they work in Sentara's Prior EPIC experience Experience working inoffice (not remote) Proven ability to work effectively in a fastpaced, highvolume clinical environment Strong customer service, communication, and multitasking skills Attention to detail and commitment to patient confidentiality *Experience Level* Intermediate Level *Job Type & Location*This is a Contract to Hire position based out of Norfolk, VA. *Pay and Benefits*The pay range for this position is $20.00 - $20.00/hr.
