The Weapons Systems Engineering and Survivability (KVV) group's mission is to "lead full life cycle systems engineering, modeling & simulation, and analysis of the Nation's preeminent tactical weapons systems to deliver advanced, lethal, and survivable capabilities to the warfighter." Your administrative support will ensure the organizational and operational efficiency needed to accomplish this mission. As the Group Administrator...

  • Your primary responsibility will be to provide administrative and clerical support in accordance with APL Policies and Procedures.
  • You will help group staff set up travel itineraries, submit visit requests, and process claims for local and non-local travel reimbursements.
  • You will manage calendars, schedule meetings, book conference rooms, coordinate logistical needs and personnel attendance, and verify the receipt of clearance information.
  • You will be a leader on our onboarding team responsible for welcoming new staff to the group and ensuring that they are set up for success on day one by coordinating office space, furniture, and IT resources.
  • You will assist our hiring team with publishing job requisitions, compiling candidate application packages, and scheduling phone screens and interviews.
  • You will serve as the group property manager, responsible for inspecting and reporting accountability of items such as computers, lab equipment, and government property.
  • You will be responsible for inventorying and ordering office supplies as well as other items approved by the group supervisor.
  • You will support the publication of technical documents by issuing document numbers, entering documents into APL's quality review tracking tool, and following up with reviewers to ensure that required actions are performed in a timely manner.
  • You will collaborate with the other administrators within our branch and provide backup administrative support as needed.
  • You will contribute to group morale by planning and supporting social events.
  • You will take the initiative to seek opportunities to make the group more effective and productive by identifying and implementing new/improved administrative procedures.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have a High School diploma or equivalent with at least three years of recent and growing responsibility as an office administrator.
  • Are a detail oriented, organized, self-starting person able to independently multitask, prioritize and problem solve.
  • Are a phenomenal teammate with strong written and verbal communication skills. This includes the ability to recognize and correct grammar, spelling, punctuation, and logical organization errors in written correspondence.
  • Are proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat Pro.
  • Are able to obtain a Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

You'll go above and beyond our minimum requirements if you...

  • Have an Associate's degree or higher.
  • Have previous administrative experience within APL and familiarity with APL staff, sponsors, and programs.
  • Are familiar with APL practices and procedures, including travel, purchasing, security, and budgetary interactions.
  • Have experience with the Box web-based file-sharing application and/or the Confluence collaborative online workspace environment.
  • Are proficient with APL administrative applications such as the Applicant Tracking System (iCIMS), Enterprise Business Support System (EBSS), Enterprise Property Management System (eQuip), and Planning, Estimating, Enterprise Resource (PEER).
  • Hold an active Secret security clearance or higher.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
