Job Summary

The Production/Purchasing Coordinator supports the Graphics Department by managing daily production communication, coordinating materials and purchasing activities, monitoring labor and timekeeping accuracy, assisting purchasing team with assigned tasks, and ensuring timely and accurate reporting to operations leadership.

Principle Duties and Responsibilities

1. Communication & Email Management

- Respond to all emails from the previous day received after end of shift.

- Coordinate information with PMs and Graphics leadership.

- Communicate part status to Gate Keeper and Shipping.

- Report potential backorders due to material shortages or delays.

2. Sales Order Shortage Management

- Run and review Sales Order Shortage Report.

- Review shortages with leadership.

- Determine progress and ETA for missing items.

- Present updates during Daily Production Meeting.

3. Daily Production Meeting Preparation

- Prepare shortage status.

- Communicate critical risks.

- Provide job escalation updates.

4. Priority Dispatch Review & Operations Reporting

- Review past-due hours, efficiency, PTO, current hours.

- Prepare daily operations reports.

- Request jobs from Supply Room.

- Confirm materials and PO delivery alignment.

- Verify job quantities match demand.

5. Material Coordination & Purchasing Support

- Follow up on missing, past-due, or delayed POs.

- Monitor urgent material dashboards.

- Verify material substitutions.

- Track requisitions and maintain stock levels.

6. Timekeeping & Labor Tracking

- Ensure accurate clock-out.

- Report anomalies.

- Document downtime.

- Review indirect labor entries.

7. Quality & Engineering Coordination

- Track art issues.

- Coordinate FA schedules.

- Close communication loops.

- Support root-cause analysis.

- Coordinate rework requests.

8. EndofDay Processes

- Communicate escalations.

- Verify nextday priorities.

- Log updates in tracking system.

9. Purchasing & Supplier Communication

- Assist buyers with tracking orders.

- Expedite POs.

- Communicate with suppliers.

- Update freight tracking.

- Prepare reports & documentation.

- Support special projects.

Qualifications

- High school diploma or equivalent required.

- 2+ years related experience preferred.

- Strong communication & problemsolving skills.

- Proficient with ERP systems and Microsoft Office.

Physical Requirements

- Computer work for extended periods.

- Walk production floors.

- Lift up to 25 lbs. occasionally.
