Position Overview
The Administrative Assistant provides comprehensive administrative and customer service support to the Federal Protective Service (FPS) Region 1 leadership and divisions. This role serves as a primary point of contact for internal and external inquiries and supports operational, personnel, facilities, and timekeeping functions.
Duties and Responsibilities
- Screen telephone calls and visitors for the Regional Director (RD), Deputy Regional Director (DRD), Chiefs of Mission Support, Risk Management, Threat Management, District Commanders, and Area Commanders, referring matters appropriately and independently handling routine inquiries.
- Support visiting officials from DHS, FPS Headquarters, and other federal agencies by assisting with communications, logistics, and ad hoc administrative needs.
- Provide accurate and timely responses to public and internal inquiries regarding FPS programs, services, and procedures, identifying appropriate divisions for follow-on action when required.
- Clarify inquiry requirements, research issues using reference materials and internal coordination, and develop informed responses or referrals.
- Establish, maintain, and control correspondence files and records; distribute incoming mail for regional and remote FPS offices.
- Prepare, edit, copy, calculate, revise, store, retrieve, and print correspondence, reports, statistics, calendars, tables, graphs, and other documents using Microsoft Office applications.
- Receive and process customer agency requests for additional services, ensuring request forms are accurate and complete before routing for action.
- Serve as a designated Timekeeper by reviewing, validating, and correcting federal employee time and attendance in electronic systems; coordinate corrections with Human Capital offices.
- Track overtime usage in support of regional budget oversight while safeguarding sensitive personal information.
- Support the Protective Security Officer Program Manager by processing Temporary Additional Services requests and preparing required documentation for COR review.
- Coordinate with GSA and other agencies to schedule shared training and conference spaces.
- Liaise with building maintenance providers to address HVAC, lighting, telecommunications, and office infrastructure issues.
- Manage secure access control systems, issuing and revoking FOBs and PINs in accordance with access authorization requirements.
