Introduction to the job

The Management Support Team Lead plays a pivotal role in ensuring operational excellence and fostering a positive workplace culture. This position is responsible for overseeing and managing the centralized management assistant team, driving efficiency and consistency across administrative support functions. In addition, the role involves planning and executing employee engagement events throughout the year, creating meaningful experiences that strengthen team collaboration and morale. Finally, the ideal candidate brings structured project management experience, leveraging proven methodologies to deliver initiatives on time and within scope. This dynamic role requires strong leadership, organizational skills, and the ability to balance strategic oversight with hands-on execution.

Role and responsibilities

Team Leader

  • Oversees the onboarding, training and managing of ten Management Assistants

  • Drives the HR cycle, including goal setting, performance management and talent development

  • Leads operational excellence with the MSO with a strong focus on:

  • Tooling management: Year calendar via Bamboo, agenda analysis

  • Process management: SLA/Team Charter

  • Meeting management: MoM, meeting hygiene, rotating schedule

  • Training: Time management, onboarding, master classes

  • Cost control (T&E audit...)

  • Partners with "clients" (leaders) to ensure needs and Service Level Agreements are being met

  • Collects feedback to evaluate and refine the MST and identify new innovative support solutions

  • Builds a High Performing Team and fosters an inclusive environment

Employee Engagement Manager

  • Manage and organize employee appreciation events, with the following accountabilities:

  • Manage the San Diego employee engagement and appreciation events annual budget

  • Scope, plan and organize 12+ employee appreciation events a year ranging from 200-2,000 guests per event

  • Manage project execution of agreed events, overseeing internal support staff as well as external vendors contracted to support events

  • Develop and execute multichannel communications plans for San Diego site employment engagement initiatives

  • Assess and measure the success of employee engagement events to inform future event strategy

Project Manager

  • Scopes, drives and implements specific initiatives to benefit the efficient operations of the San Diego site to include:

  • Opportunity Identification: Collaborates with cross-functional teams to identify pain points and translate them into actionable solutions

  • Project Scoping and Solutioning: Scopes out work needed to complete identified initiatives and works with key stakeholders and business partners to identify solutions

  • Project Implementation: Manages project timelines, deliverables, and stakeholder communications for efficiency-related initiatives

  • Change Management: Supports change management and adoption of new tools across

  • Continuous Improvement: Monitors performance and continuously improves based on feedback and evolving needs

Education and experience

  • Bachelor's degree or equivalent required; Global experience a plus

  • Minimum of 8 years administrative experience, preferably working with executive management in a complex, fast-paced team environment

  • Experience leading and managing teams

  • Experience overseeing projects, with demonstrated strengths in multi-tasking, prioritizing work, and driving results

Skills

  • High Proficiency in Microsoft Office: Outlook, Word, Teams, Excel, PowerPoint

  • High Proficiency in O365 tools including Teams, SharePoint and basic dashboarding

  • Superior customer service, collaboration and interpersonal skills

  • Excellent planning, organizational and written and verbal communication skills

  • English language skills - excellent written and verbal communication

  • You are able to grow positive relationships with supported management, colleagues and assistants, at all organizational levels

  • You are able to create an extended planning with preparation horizon in terms of >12 months for management support within your Sector/Department.

  • You are able to translate policy or planning into group objectives

  • You initiate and give input to further develop guidelines/standards

  • You contribute to the translation of ASML policies to your team of management assistants

  • You are able to apply multiple styles in engaging stakeholders by: (Stating, Hierarchy, Legitimizing, Relationship, Logic, Exchanging, Joint problem solving, Set the example)

  • You work independently; identifies and solves problems in a timely manner; escalates when necessary

  • You have an open mind for new developments and change and make recommendations for improvement of further professionalizing our Management Support Organization

The current base annual salary range for this role is currently:

$117,000-195,000

Pay scales are determined by role, level, location and alignment with market data. Individual pay is determined through interviews and an assessment of several factors that that are unique to each candidate, including but not limited to job-related skills, relevant education and experience, certifications, abilities of the candidate and pay relative to other team members.

The Company offers employees and their families, medical, dental, vision, and basic life insurance. Employees are able to participate in the Company's 401k plan. Employees will also receive eight (8) hours of vacation leave every month and (13) paid holidays throughout the calendar year.
