Temple University's School of Medicine is searching for an Administrative Specialist! Position Summary: The Administrative Specialist for the mHealth Trauma Response Program will provide support for the Behavioral Health Supervisor and Behavioral Health Specialists who are providing crisis intervention and mental health services to individuals throughout the city of Phila. This position is responsible for scheduling appointments with therapists as well as ensuring the follow-up and ongoing engagement with participants and their mental health providers. The administrative specialist will also serve as a resource and point of contact for support services to all participants to ensure continuity and maintain their engagement in the program. Job Details: * This is a grant funded position * This position requires the following background checks: criminal history review, child abuse clearance and FBI fingerprinting Required Education and Experience: * A minimum of 1 year of relevant experience. Required Skills and Abilities: *Effective communication skills *Demonstrated proficiency in creating and maintaining schedules *Demonstrated proficiency in applicable software/computer programs Essential Duties: * Coordinate intake and referral processes, assisting clients and families with forms, appointments, and follow-up communications. * Prepare reports, meeting minutes, and presentations to support program operations and grant reporting. * Manage calendars, coordinate staff meetings, and ensure efficient communication between internal teams and external partners. * Assist with tracking performance metrics and compiling data for program evaluation and funder reporting. * Uphold a trauma-informed, culturally responsive approach in all interactions with clients and staff. * Maintains an efficient tracking system of required information for processing invoices. * Makes follow-up appointments as deemed necessary including reminders * Generates appropriate reporting and maintains an effective filing system. * Coordinates communication with staff & supervisor to ensure that all parties receive pertinent information. * Tracks pub-ed materials for dissemination * Responsible for scheduling appointments for therapist and issuing reminders * Reviews assessment forms and follow-up with patients as deemed necessary. * Assists program with recruitment of participants. * Prepares and disseminates materials designed to help educate the target community about trauma and the importance of receiving support services. * Other duties as assigned. This position is assigned a hybrid work arrangement (on-campus and remote), the duration of this hybrid work arrangement is at the discretion of Temple University and the Department.
