What We're Looking For
The Administrative Assistant, Food & Beverage supports the Food & Beverage (F&B) leadership team by providing administrative and clerical assistance to ensure smooth day-to-day operations across all outlets. This role requires strong organizational skills, attention to detail, and a customer-focused attitude. The Administrative Assistant serves as the main point of contact for communication, scheduling, and coordination within the department.

What You Will Do:
* Greet and assist visitors and team members in the F&B department office.
* Answer phones, respond to emails, and direct inquiries to the appropriate leader or outlet.
* Manage and update calendars for the F&B leadership team, including scheduling meetings and appointments.
* Prepare and distribute department correspondence, reports, and meeting notes.
* Assist with departmental payroll and scheduling reports, training records, and contact lists.
* Maintain organized files and digital folders for vendor contracts, invoices, and department records.
* Support ordering and inventory of office supplies for the department.
* Coordinate communication between F&B outlets, Culinary, Stewarding, and other departments as needed.
* Assist with preparation of menus, signage, and meeting materials for special events or promotions.
* Help track invoices, purchase orders, and department expenses.
* Support with new team member onboarding documentation and training materials.
* Maintain cleanliness and organization of the department office area.
* Perform other administrative tasks or projects as assigned by the Director of Food & Beverage, Executive Chef, or Managers.

Your Experience Includes:
* Education: High School Diploma or equivalent required.
* Experience: One year of administrative or clerical experience preferred, ideally in hospitality or office support.
* Skills:
o Strong computer skills, including Microsoft Word, Excel, and Outlook.
o Excellent written and verbal communication.
o Strong attention to detail and organization.
o Ability to manage multiple tasks and priorities.
o Customer service-oriented with a professional demeanor.
* Schedule: Flexibility to work varying schedules, including weekends and holidays as needed.
