Job Title: Onboarding Coordinator

Hybrid

Job Summary:

We are seeking an experienced Onboarding Coordinator to manage the end-to-end onboarding process for new hires - including both full-time employees and contractors. The ideal candidate will have hands-on, tactical experience overseeing all aspects of onboarding from offer acceptance through orientation, ensuring a smooth and positive experience for every new team member.

Key Responsibilities:




  • Manage the end-to-end onboarding process for new hires, from offer acceptance through day-one orientation.



  • Initiate and monitor pre-employment screenings, background checks, and I-9 documentation.



  • Coordinate new hire logistics, including booking travel for orientation, scheduling start dates, and ensuring all required materials are prepared.



  • Partner closely with hiring managers, Talent Acquisition, HR, and other internal teams to ensure a seamless and timely onboarding process.



  • Serve as the primary point of contact for new hires throughout the onboarding cycle, providing clear communication and a positive candidate experience.



  • Maintain accurate and up-to-date onboarding records within HRIS and ticketing systems.



  • Assist with the development and continuous improvement of onboarding workflows, tools, and documentation.




Qualifications:




  • 3-5 years of experience in onboarding coordination, HR operations, or talent acquisition support.



  • Prior experience as a Recruiting Coordinator, Talent Acquisition Coordinator, or HR Coordinator strongly preferred.



  • Demonstrated end-to-end onboarding coordination experience - from initiating pre-employment activities to supporting first-day orientation.



  • Strong proficiency with HRIS systems and ticketing platforms (Workday, ServiceNow, or similar highly preferred).



  • Excellent verbal and written communication skills and a customer-focused mindset.



  • Proven ability to work cross-functionally and manage relationships with managers, candidates, and various internal departments.



  • Highly organized, detail-oriented, and able to handle multiple priorities in a fast-paced environment.
