Position Highlights The Administration Assistant provides administrative and research support to the Director and Program Manager of the Medical Student and associated Disadvantaged Undergraduate and High School Student Research Programs.

Duties & Responsibilities
  • Collect data to support program outcome summaries for preparation of internal, NIH, and other reports, renewal grants, and for new proposals for student/research/curriculum support by making phone calls to former students and conducting online searches to update current employment status and location.
  • Assist the Director and Program Manager with compiling, preparing, editing, and submitting grant proposals.
  • Conduct intensive and extensive year-round short- and long-term follow-up of all MSRP and SIMI alumni including maintenance, improvement, and querying of databases.
  • Provide administrative support in all stages of implementing the annual full- time Summer Institute on Medical Ignorance (SIMI) and year-round schedule of associated seminars/journal clubs in the Curriculum on Medical Ignorance (CMI) and RDT.
  • Data entry, communications, file maintenance, updates of teacher-mentor/student manuals and promotional brochures, compiling student applications.
  • Responsible for completing travel process per university procedures.
  • Responsible for submitting financial transactions and p-card transactions for the program per university procedures while ensuring the program remains within program budget.
  • Screen program emails to identify action items, due dates, and prioritize meetings.
  • Receive applications to ensure completion and accuracy, answer requests for forms.
  • Front desk support - customer service and phone support

Knowledge, Skills, and Abilities (KSAs):

  • Experience in program coordination
  • Skill in WordPerfect for Windows 6.0 or higher.
  • Skill in Microsoft Office programs and databases.
  • Highly developed people interactive skills.
  • Ability to work with students at multiple levels.
  • Ability to work independently.
  • Knowledge of standard office policies and procedures
  • Skill in developing and maintaining good working relationships.
  • Skill in English composition, grammar, spelling and punctuation
  • Skill in basic math.
  • Skill in typing/word processing and use of personal computer/software.
Minimum Qualifications
  • High school diploma or high school diploma equivalency is required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
