Position overview and key responsibilities The Maintenance Coordinator will support the Community Manager and Maintenance staff in the maintenance administrative activities. The Maintenance Coordinator will be responsible for:
- Manage all aspects of ordering supplies and inventory management to remain in compliance with Net Operating Income and control expenses.
- Handle administrative requests and queries from Maintenance and Community Manager to include written & verbal communication and scheduling appointments with residents.
- Process maintenance work orders to include creating, closing and follow up of work orders to ensure resident satisfaction
- Review and follow of emergency work orders from on call maintenance logs
- Daily delegation of work orders to maintenance team
- Weekly reporting of work order status, on site projects and challenges
- Answering resident, vendors, and employee telephone inquiries, directing and screening calls as appropriate
- Identify maintenance issues and schedule work needed as a result of those inspections
- Review, input and resident notification of damage charges
- Scheduling of unit turnovers to meet 3-5 day process. Inspection of team/vendor work to ensure unit readiness. Coordinate turn-over to administrative staff for leasing
- Monitor and schedule preventative maintenance schedule
- Coordinate and assist with required annual, agency and regulatory inspections
- Assist and train staff on Yardi Maintenance and the mobile app in managing completion of work orders, unit turnovers, and inspections
- Process vendor set up to include distribution of vendor packet and review for submission
- Process vendor changes (ie., W9, remittance or address change and follow up regarding expired COI) Support Vendor by assisting with ACH set up and proper invoice submission
- Support Maintenance team in procuring vendor bids for services and projects to include bid analysis, scheduling and as necessary meeting with vendors
- Attend weekly meetings with Portfolio Maintenance Manager, Community Manager and Maintenance team to discuss the status of ongoing capital and site projects
- Provide input regarding
- Assist with submission of quarterly replacement reserve requests
- Coordinates on call schedule
- Complete quarterly Building & Grounds reports in conjunction with PMM and/or maintenance team
- Maintain and control all maintenance logs (ie., snow, building equipment and appliance replacement)
- Inspect shop for Shop Compliance
- Coordinate Warranty registrations for equipment and appliance
- Schedule equipment preventative maintenance General clerical duties to include, but not limited to: photocopying, faxing, scanning, mailing and filing.
- Other duties as may be assigned.

- Minimum one year in an administrative support role.
- Experience working with minimal supervision and perform effectively under tight time deadlines
- Ability to rotate/transport between sites
