Description
Position Overview
The Office Administrator will perform administrative support for the Corporate Office. This position reports directly to the EVP, Chief of Integration & Compliance. Duties include welcoming guests and coordinating all office activities as outlined below. Duties include, but not limited to: Front Desk and Office Administrative Support
- Greet and welcome guests as soon as they arrive at the office
- Assist with sign-in, notify the party the visitor is there to see, and escort visitors to the appropriate person and office
- Answer, screen, and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary materials (e.g. pens, forms, and brochures)
- Ensure entire office public spaces are tidy and presentable (hoteling offices & cubes, hallways, conference rooms, kitchen area, etc.)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Perform other clerical receptionist duties such as filing, photocopying, mailings (FedEx etc.), scanning, and faxing
- Ordering office supplies (Chantilly, Huntsville, and Lorton)
- Order and facilitate delivery of floral/plant arrangements for bereaved employees
- Liaison with building maintenance and property management company (COPT)
- Facilitates meetings company-wide and tenants (in office and online)
- Facilitation may include coordinating conference rooms, providing refreshments and/or lunch, etc.
- Facilitate or Assist in corporate event planning (holiday parties, open houses, monthly corporate meetings, etc.)
- Assist with new hire activities including ordering business cards, coordinating efforts with employees and other departments, etc.
Executive Staff Support Administrative Support
- Independently manage and own special projects, some that may require discretion and sensitivity.
Human Capital Administrative Support
- Assists with the administration of employee recognition programs (pin awards, Extras program processing, etc.)
- Assists HC leadership with various research projects and/or special projects
- Ad Hoc, precoordinated administrative support as needed.
Security & IT Administrative Support
- Manage visitor badges
- Escort Service Support contractors (e.g. Iron Mountain, Cleaning Crew, COPT, etc.)
- Ad Hoc, precoordinated administrative support as needed.
Finance & Accounting Administrative Support
- Ad Hoc, precoordinated administrative support as needed.
Qualifications
Clearance
Years of Experience/Education/Miscellaneous Requirements
- Minimum of 2 years office administrative experience
- HSD or GED required
- Proactive self-starter
- Must be able to lift up to 25 lbs
Travel Requirements
- Limited travel within the region
