Job Summary

Under the general supervision of the Research Operations Manager and direction of Program Directors and Division Managers, the Research Program Management Officer serves as a key team leader, overseeing the day-to-day operations and management of federally funded research training programs within the Department of Internal Medicine's Research and Administration Support (RAS) Unit. This position will collaborate with program directors, division managers, finance analysts, faculty trainers, and mentors across both the Davis and Sacramento campuses to ensure smooth coordination and support for research training activities.

The Research Program Management Officer is an expert in pre-award and award management, providing guidance on University policies and procedures related to grants, contracts, financial management, and personnel matters for federally funded programs. This role also involves gathering, managing, analyzing, and evaluating trainee-related data from multiple sources.

Key responsibilities include monitoring and maintaining research trainee data, monitoring trainee progress, ensuring compliance with federal regulations and program-specific guidelines, and supporting Principal Investigators (PIs) with the development and implementation of program strategies, goals, and objectives. The position requires expertise in budget preparation, analysis, and forecasting, with the ability to manage complex budgets for federally funded programs. The Research Program Management Officer will work closely with the Research Operations Manager, Program Directors, Division Managers, and other key stakeholders to ensure the effective execution and evaluation of training programs.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related field or equivalent experience and training.
  • Must have at least 3 years of experience in program management.
  • Academic background and experience in a relevant area of research required.
  • Advanced experience in pre-award processes, including coordinating and executing grant and contract submissions.
  • In-depth knowledge of research administration guidelines and budget preparation for Federal, non-federal, and private sponsors, with the ability to interpret and comply with University, State, and Federal requirements.
  • Strong written and verbal communication skills, including the ability to interact professionally with diverse stakeholders and to proofread and edit scientific content and grant proposals.
  • Ability to understand and implement complex verbal and written instructions accurately.
  • Excellent interpersonal and customer service skills, with the ability to work collaboratively and respectfully across diverse teams and represent the department with external partners.
  • Proven ability to work independently and as part of a team, with strong networking skills to support institutional goals.
  • Exceptional organizational and time management skills to handle competing priorities, high volumes of transactions, and tight deadlines.
  • Flexibility and adaptability to shifting priorities, with strong decision-making and the willingness to work overtime as needed.
  • Strong analytical and creative thinking skills to develop solutions and coordinate complex projects across matrixed teams.
  • Effective problem-solving and conflict resolution abilities.
  • Proficiency in analyzing financial data and reports to support decision-making and compliance.
  • Proficient in using electronic grant application systems (e.g., ASSIST, eRA Commons, Cayuse, ProposalCentral, FastLane) and the ability to learn new digital tools and portals.
  • Advanced skills in Microsoft Office (Excel, Outlook, PowerPoint, Teams, and Word).
  • Demonstrated commitment to confidentiality, discretion, process improvement, and high-quality work standards.
  • Strong ability to build and maintain professional relationships through tact, patience, and clear communication.

Preferred Qualifications

  • Master's degree in related field or equivalent experience and training.
  • Knowledge of graduate education and postdoctoral training policies and procedures.
  • Proven experience in program planning and project management, including independently coordinating professional-level research training programs across departments and campus units.
  • Experience developing, managing, and communicating program schedules, goals, and activities for scholars, faculty mentors, and leadership.
  • Successful track record coordinating academic or research training programs, particularly in higher education or healthcare settings.
  • Strong collaboration skills, with experience engaging faculty, clinicians, staff, and advanced-degree candidates in support of research training and education.
  • Exceptional attention to detail and accuracy in program execution, documentation, and reporting.
  • Proficiency in managing program budgets, with an emphasis on financial sustainability and compliance.
  • Demonstrated initiative and accountability, with the ability to prioritize multiple tasks and manage competing program deadlines.
  • Advanced written and verbal communication skills, including the preparation of reports, brochures, website content, and official communications for a wide range of stakeholders.
  • Proven ability to identify and implement process improvements that enhance program efficiency and service delivery.
  • Strong problem-solving and decision-making skills, with a focus on resolving programmatic issues proactively.
  • Experience in event logistics, including researching and securing venues for local and national program activities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and internet-based tools, with the ability to quickly learn new platforms and UCD-specific systems.
  • Experience with grant reporting and administration, including managing trainee appointments, terminations, and progress reports, as well as working in systems such as Aggie Enterprise, eRA Commons, xTract, xTrain, and UC Path.
  • Strong understanding of institutional missions, with the ability to align program development to the goals of UCDHS, UCD, and the School of Medicine.

Based in Sacramento, we maintain a primary care and affiliate network that spans 33 counties in the Central Valley, the Sierra Nevada foothills, and the High Sierra.
