Summary: This individual will have primary responsibilities for administrative and secretarial support, special projects, and strategic initiatives for the Dean of Academics Office. The office of the Dean of Academics oversees and works closely with a number of partners in the Lawrenceville community. The Director of Teaching and Learning, the Bunn Library, the office of Educational Support, the Department Chairs, and the office of the Registrar report directly to the Dean of Academics. In addition the Dean of Academics Office oversees the student Research and Ai programs. This individual will be responsible for record keeping, data analysis and administrative support of various initiatives directly impacting faculty, staff, students, and parents, including scheduling, budgeting, maintaining official records and communicating the academic operations of the school. Willingness and ability to work from 8:00 am to 4:00 pm. However, some weekend, evening, and holiday work will be required to support key academic programs, alternative class schedules, student registration and commencement. This is a fully in-person role that requires on-campus presence. Essential Duties & Responsibilities: Academic Data Management & Reporting:
- Track and maintain student schedules, grades, metrics, and academic data. Prepare reports on academic standing and provide real-time data to department chairs and administration. Run reports for the Dean of Academics and manage academic record keeping. Assist with student enrollment and scheduling.
Administrative Support & Coordination:
- Provide comprehensive administrative support to the Dean of Academics and Director of Teaching and Learning, including correspondence, travel planning, meeting coordination, and general office management. Order supplies and maintain filing systems.
Assessment & Transcript Coordination:
- Coordinate all logistics for the final week of each term and school-wide exam periods including scheduling, reserving locations, Accommodations, and communication. Manage end-of-term makeup exams and track course completion. Manage the collection of interim and term-end comments. Coordinate make-up work for students on Leave or who have substantial need for accommodation.
Event & Program Management:
- Coordinate academic field trips, showcases, registration preparations, Academic Review Committee meetings, and summer academic programs. Facilitate Independent Study presentations and academic awards processes.
Budget & Financial Administration:
- Maintain department budgets, create expense reports, process reimbursements, and submit invoices to the Finance Office.
External Program Coordination:
- Manage applications and communications for outside academic programs (Governor's School, Princeton University programs). Handle NCAA compliance updates and course approvals three times yearly.
Meeting Support & Documentation:
- Attend Trustee meetings and prepare minutes. Support department chair retreats and faculty meetings as needed. Support academic departments as needed.

Requirements
- High School degree, Bachelor's preferred
- 3 years of experience working as an administrative assistant or teacher
- Programming or data management experience preferred
- Boarding or independent school experience preferred
- Must have exceptional organizational skills and function well as part of a collaborative team. Must work well both independently and with colleagues.
- Must possess excellent interpersonal skills, both verbal and written - necessary to communicate with both internal departments and external vendors.
- Must be self-motivated, detail-oriented, and adept at multitasking. Flexibility to adapt to changing needs, and an enthusiasm toward new assignments.
- Demonstrated analytical and problem-solving skills, with a strong customer focus, enhanced by proficiency in spreadsheets for data-driven insights and familiarity with our Learning Management Systems.
- Ability to maintain neutrality and work under stress.
- Ability to maintain confidentiality and sensitivity to privacy.
- Proficient with Google Suite, Veracross-or comparable education management systems, and familiarity with basic AI software. Willingness and ability to learn additional applications as needed.
- Demonstrated ability to work with students by building trust and credibility.
- Ability to handle multiple priorities and deadlines simultaneously.
- Ability to follow verbal and written directions, and maintain a professional demeanor and restraint at all times, including in stressful situations.

- Required to work evenings, weekends and holidays in conjunction with the School calendar and events. This is a fully in-person role that requires on-campus presence.
- Physical demands are in excess of those for sedentary work. Must be able to remain on their feet for extended periods of time, go up and down flights of steps, as well as stoop, kneel, crouch, and lift.
- Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.
- Must be capable of using visual display terminal with continuous wrist movement on a keyboard
- Required to stand for long periods of time
- Required to, talk, hear, walk, use hands to finger, handle or feel and reach with hands and arms
- Must be able to lift up to 25lbs. without assistance
- Ability to see with normal parameters.
