Position Description

Performs administrative and coordinative work in direct support of an executive officer, including such functions as planning, budgeting, supervision and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision with evaluation based on results obtained.

Major/Essential Functions


  • Serve as the CIO's primary point of contact and assist in maintaining the calendar, coordinating activities, and scheduling complex meeting scenarios for the TTU System CIO and Information Technology team.
  • Answer/Create email correspondence, perform administrative duties for daily office operations.
  • Initiate travel applications, make reservations, and process travel vouchers for reimbursement.
  • Coordinate Departmental Activities & Events, including making arrangements with suppliers and vendors.
  • In coordination with the CIO, support CIO-hosted meetings providing coordination, communication, and information recording / re-distribution services.
  • Maintain department records, communications, and filings as necessary to support IT leadership.
  • In coordination with TTUSA IT leadership, actively develops, revises, and maintains internal administrative procedures for the division. Coordinates with other executive associates and administrative assistant staff to ensure consistent practices are followed within the division between departments.
  • Maintain technology proficiency using common office technology toolsets, including the complete Microsoft Office Suite of products.
  • Track progress of key IT projects and report status to the CIO.
  • Organize and maintain confidential documents and sensitive information.
  • Prepare agendas, materials, and logistics for meetings, presentations, and conferences.
  • Other duties as assigned.

Required Qualifications

Bachelor's degree required in related area plus six years progressively responsible administrative experience including supervisory experience; OR a combination of education and/or experience to equal ten years.
