JPI is seeking a resourceful, highly organized, and trustworthy Executive Administrative Assistant to support our Chief Executive Officer and Chief Financial and Investment Officer. This full-time position is based in our Dallas headquarters and plays a vital role in ensuring the productivity, focus, and time management of JPI's top leaders.
The ideal candidate is a proactive gatekeeper and strategic partner who thrives in a dynamic, fast-paced environment while maintaining composure. This person excels at anticipating needs, streamlining executive workflows, and protecting valuable time, allowing senior leadership to focus on high-impact work. The Executive Assistant must exercise impeccable discretion, organization and proactivity while maintaining high standards of execution, and communicate with poise on behalf of executive leadership.
Essential Functions & Responsibilities Operational Excellence
Serve as a trusted point of contact between the executives and internal/external stakeholders with poise and urgency. Manage, screen, and prioritize incoming requests, inquiries, and meeting invitations. Anticipate meeting needs, proactively gather briefing materials, and track follow-up tasks to completion. Maintain visibility into executive goals and deadlines to ensure the leadership team remains aligned, informed, and prepared. Uphold and enforce strategic time management and calendar boundaries to preserve work blocks for focused priorities. Draft and send professional correspondence on behalf of the executives with clarity, urgency, and polish. Provide administrative support for executive-led special projects and initiatives, including cross-functional collaboration.
Administrative Excellence
Manage complex calendars for multiple executives, including internal meetings, external engagements, and personal priorities. Arrange detailed domestic and international travel plans and maintain clear itineraries. Prepare agendas and ensure meeting resources (AV, room setup, technology etc.) are coordinated. Submit and reconcile expense reports, purchase orders, and invoice processing through Workday. Maintain accurate and organized digital and physical filing systems.
Travel and Expense Management
Arrange and manage complex travel itineraries, including flights, accommodations, transportation, and visas as required. Prepare detailed travel agendas and ensure all necessary travel documents are in order. Align plans to ensure effective expense management. Proactively manage all expense reports and reimbursements for executives, ensuring accuracy, timeliness, and compliance with company policies. Manage the reconciliation of corporate credit cards in a timely and efficient manner. Manage Workday to submit Purchase Orders and submit invoicing associated with the executive team.
Communication and Coordination
Personal Support
Assist in coordinating personal appointments and family-related schedules that intersect with work obligations. Manage household vendor communications and administrative to-dos (e.g., service calls, school forms, logistics). Track personal deadlines such as tax filings, insurance renewals, and medical visits. Handle personal reimbursements and bill management, ensuring high discretion and reliability.
Non-Essential Functions & Responsibilities
Education, Work Experience, and Physical Requirements
3+ years of experience in an executive support role (or similar role) with demonstrated experience supporting multiple senior leaders and priorities in a fast-paced environment Bachelor's Degree preferred Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers Excellent organizational and time-management abilities Exceptional proficiency in office software, technology, and productivity tools (e.g., Microsoft Office Suite, Google Workspace), and an ability to quickly learn new technologies. Strong written and verbal communication skills. Ability to multitask and prioritize effectively in a fast-paced environment. Discretion and trustworthiness when handling confidential information. Flexibility and adaptability to changing priorities and tasks. Strong interpersonal skills and the ability to work well with a diverse team. Excellent computer proficiency (MS Suite - Word, Excel, PowerPoint, and Outlook) Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service Ability to work independently and to carry out assignments to completion within the parameters of instructions given, prescribed routines, and standard accepted practices.
