Description

SUMMARY

The Clerical Support Specialist II and III role is to open and distribute incoming correspondence to the appropriate person or department, expedite assigned work orders, file documents, process outgoing correspondence, and order and maintain office supplies. The primary objective of the Clerical Support Specialist position is to establish rapport and ongoing communication with all internal departments to ensure accuracy and timeliness of all processes which affect the completion of a client's order.

ESSENTIAL JOB FUNCTIONS - II



  • Open and distribute incoming correspondence to the appropriate person or department.
  • Process outgoing correspondence.
  • Establish and maintain communication with departments to determine time constraints on special instruction orders.
  • Expedite assigned work orders and notify order entry of database updates.
  • Enter status into the computer systems, document steps taken in the handling/routing of work orders.
  • Route work orders to appropriate departments in a timely manner, as defined by office procedure.
  • Order and maintain office supplies at a level to ensure against shortages.
  • Receive and distribute of supplies to the appropriate storage location/department/ individual.
  • Match incoming vendor invoices with work orders.
  • Download and manage EMR portals.
  • Issue checks.
  • Enter film breakdowns, process films orders, and online approvals.
  • Manage incoming faxes and email inboxes.
  • Match records with work orders.
  • Bind and mail completed records.
  • Assemble work orders packets.
  • Scan documents.
  • Perform other duties as assigned.



ESSENTIAL JOB FUNCTIONS - III



  • Ability to research and process problem work orders unto completion.
  • Versatile across Clerical Support.
  • Ability to manage a high volume workload.
  • Ability to review department WIP reports.
  • Assists with training.
  • Creatively assists in any problem areas of the department to ensure higher level of productivity.

Qualifications

MINIMUM REQUIRED QUALIFICATIONS

Education and/or Experience

High school diploma or equivalent required. Some college desirable but not required. Prior work experience in an office setting preferably in a medical, legal, or an insurance claims office.

Certificates, Licenses, Registrations

No specific requirements.

  • Must be a qualified typist with a minimum of 45 W.P.M.
  • Must demonstrate self-motivation and direction.
  • Ability to adapt to changes and absorb new ideas and concepts quickly.
  • Must demonstrate good analytical and problem-solving abilities.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Must demonstrate good written, interpersonal and organizational skills.
  • Must demonstrate a rudimentary understanding of the internal processes of medical facilities and med-legal terminology.
  • Must be able to stay focused and concentrate under normal or heavy distractions.
  • Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.


LANGUAGE/COMMUNICATION SKILLS



  • Ability to read, analyze and interpret common correspondence and records.
  • Ability to write clearly and informatively to all required audiences and edit own work for appropriate spelling and grammar.
  • Ability to respond appropriately and professionally to all inquiries or complaints from customers, regulatory agencies, upper management, and/or members of the business community.
  • Ability to speak on the phone and have excellent telephone communication skills, bilingual a plus.

  • Ability to work at a desk or similar office-type furnishings up to 8 hours a day or longer as required by business needs.

  • Occasionally pushing/pulling up to 40 lbs.
  • Ability to travel to different floors of the office or other location.
