HIRING RANGE: $21.42 - $22.71 hourly

POSITION SUMMARY Provides administrative support to the Social & Behavioral Sciences department. Performs a diverse range administrative tasks requiring discretion and sound judgment; delivers efficient and professional assistance to students, faculty, and college staff. This role demands significant initiative, independent decision-making, and the ability to adapt procedures to evolving situations. The position reports to the Department Chairperson and provides support to full time staff. ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES: 1. Prepare and type correspondence, documents, compile data for internal and external reports, tests and other related materials. 2. Prepare and maintain mailing lists, records, handbooks, databases and files. Occasional travel may be involved to various campuses and educational centers to deliver material for classes or obtain appropriate signatures. 3. Receive and direct visitors, handle phone calls, take and relay messages, provide requested information. 4. Prioritize and distribute mail and assist with adjunct faculty mailings. Provide technical support to department personnel and students with the use of office equipment. 5. Assist in the preparation of department events such as Anti-Stigma, Discover JJC, Majors Fair and related. 6. Assist with copies, background checks, spreadsheets, or other assistance faculty may require. 7. Organize faculty schedules, office hours posting, and travel in workday. 8. Assist student requesting information such as syllabi, course availability, add drop forms, registration and other related materials. 9. Call and email students to notify of class cancelations/changes and provided other class options. 10. Maintain records for full-time and adjunct faculty such as syllabi, gradebooks, student evaluations and related. 11. Maintain adjunct faculty teaching assignment applications and update seniority list. 12. Work collaboratively with other departments and/or vendors. Be willing to be cross-trained to perform related clerical tasks. 13. Maintain and update computer for cart schedule. 14. Participate in achieving departmental and college goals and objectives 15. Perform other related duties as assigned. MINIMUM QUALIFICATIONS 1. Associate's degree; or in lieu of Associate's degree, must have equivalent college credit hours. 2. Three (3) years of secretarial or comparable experience. 3. Thorough understanding of FERPA and the importance of confidentiality. 4. Extensive personal computer skills including Microsoft Office, Excel, Workday & Datatel. 5. Ability to accurately type, proofread carefully, and prioritize. 6. Willingness to work cooperatively with a diverse population. 7. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence. 8. Experience in Academic Affairs Area. 2. English and Spanish verbal and written communication proficiency. 3. Demonstrated multicultural competence. WORK SCHEDULE: 1. Monday through Thursday 9:30 a.m. to 4:30 p.m. PHYSICAL DEMANDS: 1. Normal office physical demands. 2. Ability to travel between campus locations and to and from community events. WORKING CONDITIONS: 1. Duties are performed indoors in the usual office and/or outdoor environment. Full Time/Part Time: Part time
