The US Oncology Network is looking for a Surgical Support Coordinator to join our team at Texas Oncology! This position will support the Sugarland, Texas location. Typical work week is Monday through Friday with no weekends, call or major holidays.

What does the Surgery Support Coordinator do? (including but not limited to)

Under minimal supervision, dedicated to internal surgery scheduling from physician's orders as directed by the physician. Close working relationship and good communication with physician a must. Reserve operating room date and time. Schedule anesthesia and surgical assistant and any outside surgical representatives and/or equipment necessary for procedure. Provide patient with pre-operative testing information ordered by physician. May be required to obtain any pre-operative testing results requested by physician and take appropriate actions as directed by Physician. Obtain necessary insurance authorization and pre-certification from insurance company with the proper Procedure (CPT) and Diagnosis codes (ICD-10). Communicate to the patient surgical information, all necessary prep the date/time/location of the appointment. Will help orient, train and assign work of junior level staff. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.


Responsibilities

The essential duties and responsibilities (included but not limited to):

  • Effectively oversee and manage the continuum of surgical case coordination within department standards
  • Coordinate, schedule, and authorize pre-operative clearance testing (e.g. cardiac, pulmonary) and any diagnostic imaging (e.g. CT, MRI, US, X-Ray) as ordered
  • Effectively coordinates surgical cases between patients, co-surgeons, vendors, first assists, and facilities
  • Ensure that reports (e.g pathology, post-operative note, etc) are captured in the chart
  • Reviews and confirms with patients all surgical details and any pre-appointment instructions or protocols (e.g. arrival, bowel prep, etc.)
  • Requests, reviews, and audits to ensure that appropriate referrals and authorizations are obtained in advance of all scheduled procedures/surgeries in adherence to medical policy as outlined by payors to ensure accuracy and prevent delay in reimbursement
  • Evaluate service costs and execute financial clearance and patient care commitments prior to service delivery
  • Manages physician operating room (OR) blocks with surgical facilities in accordance with facility policy
  • Accurately documents/updates patient records in designated systems to ensure all parties have accurate information
  • Provides support and information to providers to problem solve and manage complex administrative issues
  • Maintains strictest confidentiality; adheres to HIPAA guidelines/regulations
  • Other duties as requested or assigned

Qualifications

The Surgery Support Coordinator will have the following experience:

Level 1

  • High School diploma or equivalent required.
  • Position requires at least three (3) years of medical office or hospital experience with progressive responsibility or equivalent combination of education and work experience. Clinical experience as a medical assistant or surgery scheduler preferred
  • Knowledge of multiple PMS and EHR platforms preferred.
  • Experience with Microsoft Office Products (Outlook, Word, Teams, and Excel) required.
  • Proficiency with medical and surgical terminology and knowledge of insurance benefits, eligibility, and authorization procedures.
  • Must successfully complete required onboarding courses and on-demand training within 45 days of occupying position

Senior Level

  • Position requires four (4) years of medical office or hospital experience with progressive responsibility or equivalent combination of education and work experience. Clinical experience as a medical assistant or surgery scheduler preferred.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to be present at the employee site during regularly scheduled business hours and regularly required to sit or stand and talk and hear. Requires full range of body motion including handling and lifting patients, manual and finger dexterity, and eye-hand coordination. Requires standing and walking for extensive periods of time. Occasionally lifts and carries items weighing up to 40 lbs. Requires corrected vision and hearing to normal range.

WORK ENVIRONMENT

This is an in-office position. The work environment may include exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations, and other conditions common to an oncology/hematology clinic environment. Work will involve in-person and virtual interaction with co-workers and management and/or clients. Work may require minimal travel by air or automobile to office site.
