Under general supervision of the Controller, the incumbent in this position performs Accounts Payable duties within the Financial Services unit of the Division of Administrative Services. This position is responsible for: pre-auditing and processing payment, accounts payable documentation related to direct payment requests, payment to individual reports, speaker and entertainment contracts, purchase orders, and meal requisitions. The incumbent participates in the maintenance automated financial record keeping systems.

The incumbent is responsible for responding to inquiries from university administrators, faculty, staff, and external stakeholders. These responses require knowledge of the financial and administrative procedures and policies of the University, the UW System, and relevant State and Federal agencies. The incumbent may provide department staff training, and trains limited term employees, project appointments and student employees. The incumbent reports directly to the Controller.

Hybrid remote work may be available after the successful completion of the initial training period. Please note that the remote work policy is subject to change at the discretion of the department or university.

Key Job Responsibilities:
  • Monitors financial transactions and fund balances and generates and reconciles complex reports and statements in accordance with established rules and regulations

  • Reviews transaction processing internal controls and recommends policies and procedures

  • Answers complex fiscal questions and provides information based on set materials and standards to various audiences

  • May train staff on financial processes and best practices

  • Drafts communications and reports and maintains organization of varied records to provide administrative support within a specified work unit

  • Serve as a unit liaison to leadership providing financial advice, recommendations, and financial status updates

  • Reallocates expenses to appropriate funding strings

  • Reviews and approves complex transactions and assigns funding codes in accordance with established rules, regulations, and policies

Starting at $43,888 and commensurate with experience

Required Qualifications:
  • An associates degree or higher.

  • Proficient in the use of computer applications such as Microsoft Office Suite.

  • Experience analyzing financial data and interpreting accounting policies.

  • Experience managing and prioritizing multiple projects with competing deadlines.

  • Proven track record of taking action without immediate supervision.

  • Proven experience interacting professionally and effectively with individuals while still maintaining confidentiality.

  • Experience with strong customer service skills with a high level of professionalism; ability to be courteous, respectful, responsive, and cooperative at all times.

Preferred Qualifications:
  • Experience with full time work in a business accounting setting.

  • Experience working with complex automated accounting systems and processes.

  • Knowledge of accounts payable procedures and basic accounting principles.

Education:
  • Associates degree or higher.
