Summary of Job Duties:The Assistant Bursar provides accounting and system support for the Bursar and Accounts Receivable Department. This position will maintain the accuracy and efficiency of accounting for all aspects of incoming funds to the University and assist in the improvement of processes within Workday Student. Qualifications:

Required Education and/or Work Experience: Minimum qualifications include the formal education equivalent of a bachelor's degree in accounting or a related field and at least two years of professional work experience.

Preferred Education and/or Work Experience: Three or more years of accounting or related experience, three years of experience using Microsoft Office programs, two years of experience with the Workday business process system, one or more years of experience in higher education.

Essential Job Duties and Responsibilities:

Serve as backup for the Bursar

  • Provide accurate information to students regarding their account balances

  • Assist students, faculty, staff, and the public in a timely, friendly, and professional manner

  • Knowledgeable of all procedures within the Accounts Receivable (A/R) Department to help cover positions when short staffed and serve as a resource for problem resolution

  • Represent the Bursar and the A/R Department in the absence of the Bursar

  • Other duties and projects as assigned

Accounting Support

  • Ensure the proper recording of revenues and related transactions

  • Function as a liaison with Finance to identify, research and correct accounting issues

  • Assist in reconciling the general ledger to the A/R subsidiary ledger

  • Prepare journal entries related to tuition and fees, scholarship allowance, allowance for bad debt, and other A/R related functions

  • Build and maintain detail codes, course and program codes, and tuition and fee assessment rules, in conjunction with the Bursar

System (Workday Student) Support

  • Perform testing and review functionality in Workday Student

  • Collaborate with University of Arkansas System project teams and provide subject matter expertise to the campus community in relation to Workday Student

  • Research, compile, and analyze data from financial and student databases using query tools such as Access or Excel, and present results to various groups on campus

  • Assist the Bursar with import processes (EIB) and management of support (JIRA) tickets

  • Support the department in trouble shooting and process improvement efforts

Compliance

  • Monitor cash and cash equivalent transactions to ensure that the University complies with federal regulations and reporting of such transactions

  • Monitor the Title IV refund report to ensure compliance with Federal Regulations for Title IV refunding

Knowledge, Skills, and Abilities: To perform the job successfully, the following competencies are required for the essential functions of this position:

  • Basic level of proficiency in accounting and revenue recognition

  • Maintain a positive work atmosphere by acting and communicating in a manner to foster teamwork

  • Friendly and willing to work with students in person

  • Reliable and consistent attendance

  • Ability to organize workload and prioritize duties to meet agreed-upon deadlines

  • Effective skills in Microsoft Excel, including the ability to use pivot tables

  • Ability to learn new accounting systems and software

  • Manage information in a discreet and confidential manner

Additional Information:

Working Relationships: The Assistant Bursar will report to the Bursar. The position involves extensive contact with university employees at all levels. Must maintain positive, collaborative working relationships with all University departments.

Special Job Dimensions: Work is performed primarily in an office setting. Occasional travel may be required. While performing the duties of this job, employee regularly exhibits digital dexterity when entering data into a computer, sits for extended periods of time, and occasionally stands and walks. Vision demands include close, detailed vision when focusing on a computer screen. Employee regularly talks and hears. Employee occasionally lifts items up to ten (10) pounds. Normal working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday. Extended hours are occasionally required.
