Job DescriptionWe are seeking a detail-oriented and personable Front Office and Administrative Coordinator to manage our front desk operations and provide essential administrative support. This role is the first point of contact for visitors and service providers while also assisting with financial processes and company events. The ideal candidate is organized, proactive, and able to handle multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Answer and transfer phone calls promptly and professionally.
  • Manage the front desk, greeting and completing security check-ins.
  • Escort service providers to appropriate areas within the facility.
  • Sort and distribute incoming mail.
  • Enter supplier invoices into the system accurately.
  • Request supplier statements, reconcile accounts to ensure accuracy and chasing missing invoices as required.
  • Support the company expense process and assist with reconciling expense reports.
  • Scan and file records to comply with document retention requirements
  • Processing bank receipts/payments into accounts system
  • Contacting customers for payment of invoices
  • Restock office supplies and coffee machines to keep the workplace running smoothly.
  • Coordinate lunches, company activities, and events to foster a positive workplace.
  • Perform additional responsibilities as assigned to support team needs.

Required Qualifications:

  • High school diploma or equivalent.
  • 1+ years of Accounts Payable or Experience in a financial role.
  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft Office (e.g., Word, Excel) and basic data entry.
  • Clear communication skills, both verbal and written.
  • Reliable and professional demeanor with a customer-service mindset.

Desired Qualifications:

  • Experience with accounting software or invoice processing.
  • Familiarity with reconciling accounts or expense reports.
  • Previous event coordination experience.

Physical Requirements:

  • Ability to stand and sit for long periods of time
  • Ability to perform repetitive motion (keyboarding, 10-key, phones)
  • Ability to lift up to 25 pounds
