Executive Assistant to the President (Hybrid)

Main Function

Responsible for providing comprehensive support to the President & CEO and Board of Trustees, as well as to the Senior Leadership Team when needed. Reporting directly to the President & CEO, the Executive Assistant provides executive support in a one-on-one working relationship. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality in a manner that reflects positively on the President & CEO and the organization.

Outline of Responsibilities

  • Work closely with the President & CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer", having a keen sense of the issues taking place in the environment, internally and externally, and keeping the President & CEO updated. Anticipate President & CEO's needs in advance of meetings, conferences, presentations, etc.
  • Provide sophisticated calendar management for the President & CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Complete a broad variety of administrative tasks that facilitate the President & CEO's ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
  • Serve as liaison and provide support to the Board of Trustees and their assistants. Arrange and handle all logistics for Board meetings, events, and annual retreat: schedule meetings; update orientation materials; draft agendas; develop, compile and distribute presentation materials and record meeting minutes on behalf of Board Secretary. Maintain detailed Board member lists tracking terms, updates, vacancies, and other related information in support of strong Board representation and governance. Coordinate the communication and collection of the annual conflict of interest disclosure documentation and maintain the electronic Board letterhead and other IHA document templates.
  • Coordinate Executive/Compensation Committee and Nominating and Governance Committee meetings including scheduling, logistics, materials and minutes. Create document to update and track annual AIP results throughout the year and communicate status regularly with leaders and staff. Maintain a detailed document for discussion of board terms, re-elections and potential candidates in preparation for the annual Nominating and Governance Committee meeting. Coordinate annual board election documents for distribution to the voting members and track member votes to validate results.
  • Act as lead administrator for the electronic board governance portal responsible for all content including the directory, board meeting materials, and board handbooks including the on-going set-up, material uploads, information maintenance, meeting book archival; and liaison with board portal host related to platform updates.
  • Contact person for all member questions related to the board governance portal.
  • Coordinate Senior Leadership Team and Leadership Team meetings including agendas, material management, and logistics.
  • Other duties as defined.

Qualifications

Bachelor's degree and a minimum four years of professional experience is required. An additional four years of experience may be considered in lieu of education. Experience providing administrative support to C-level staff is required, as well as strong critical thinking, multi-tasking, and verbal/written communication skills. The ability to work independently, meet deadlines, work under pressure and demonstrate high attention to detail when preparing presentations, agendas, reports, special projects and other documents is also required. The ideal candidate will be a self-starter, excel in a team and collaborative culture, and be a technology enthusiast with advanced Microsoft Office skills. Demonstrated experience in partnering with executives and anticipating their needs, as well as the ability to perform additional duties as needed, is important. Association and/or healthcare background, as well as board experience, is preferred.

Pay Range: $84,555 to $126,833 annually, actual compensation is dependent on job-related factors such as experience, education, skills and qualifications for the role.
