Position summary
The Operations Assistant supports the operations of assigned inpatient area(s), with a focus on equipment, compliance, monitoring, and safety. Monitors all aspects of the environment, equipment, and furniture and serves as liaison with other departments for problem resolution. Performs the duties of a Patent Experience Rep as needed, working to ensure the best possible patient experience through effectively coordinating services to patients and families.

Key responsibilities

  • Oversee daily clinical operations and coordinate with departments such as Engineering, Environmental Services, and Health Technology to resolve equipment, safety, and compliance issues.
  • Participates in daily safety huddles to address safety and regulatory compliance.
  • Visually monitors environment for compliance with regulatory agencies, including JCAHO to include the following:
  • Equipment checks
  • Fire and life safety
  • Monitoring of compressed gas cylinders
  • Participates in Engineering/Safety/ESD rounds. Maintains compliance with safety requirements.
  • Conducts weekly audits, including:
  • Eye wash station, etc.
  • Organization of all storage areas/rooms, elevator landing, and emergency equipment.
  • Interfaces with staff continuously throughout the day related to equipment needs and quickly problem solves issues.
  • Collaborates with Health Technology Management to resolve medical equipment issues.
  • Conducts inventory of equipment and notifies supervisor of missing items..
  • Responsible for stocking and organizing supplies in assigned areas,
  • Answers, screens, and routes telephone calls.
  • Greets and directs patients, families, and visitors
  • . Monitors daily schedule and patient flow to optimize resource utilization and patient experience.
  • Communicates with clinicians and/or supervisors and routes patients/visitors to maintain efficient patient/visitor flow.
  • Utilizes systems to manage patient information and requests
  • Performs routine administrative duties
  • Organizes and schedules conferences, seminars, and other department-sponsored programs or events. Training and Process Improvement:

Minimum qualifications

Education:
High school diploma required

Experience:

  • One year of customer service, administrative, or experience in a health care setting.
  • Basic knowledge of clinical, operational, safety, and compliance needs of the units/departments.
  • Ability to interpret and apply safety and compliance guidelines.

Schedule: Monday - Friday, 6:30 a.m. to 3:00 p.m
Physical Requirements:

  • Frequent lifting and carrying of patients, children, or objects weighing up to 10 pounds.
  • Regular reaching, grasping, and fine manipulation of objects.
  • Proofreading and checking documents for accuracy.
