EXCITED TO GROW YOUR CAREER? WE'RE GLAD YOU'RE HERE! The Sourcing Manager serves as the primary client liaison for assigned programs, managing the sourcing process from initial request through contract completion.

This role negotiates key program components, recommends supplier and destination options, and creates preliminary budgets based on client needs.

The Sourcing Manager ensures timely communication with suppliers and follows established sourcing procedures to deliver exceptional client service.

35% - Sourcing & Contract Negotiation

  • Develop sourcing and negotiation strategies to secure the best pricing, terms, and value-added enhancements for clients.

  • Gather necessary event details and initiate the RFP process to secure room blocks, event space, and pricing from hotels and suppliers.

  • Negotiate and confirm key program components and ensure contracts meet client requirements and legal standards, including attrition and cancellation terms.

  • Track supplier option dates, maintain accurate documentation, and ensure timely communication with suppliers and internal teams.

35% - Financial Management & Tracking

  • Advise clients on deposit requirements and secure payments.

  • Accurately forecast program costs, track financial data, and maintain records in program management systems.

  • Update and manage all tracking for tentative, sold, and canceled programs according to company and client policies.

30% - Client Communication & Program Execution

  • Serve as the main point of contact for clients throughout the sourcing process, ensuring expectations are met and satisfaction is achieved.

  • Communicate supplier options, negotiation outcomes, and program details with internal teams and third-party suppliers.

  • Manage VIP and complex requests as needed.

  • Finalize all program records and documentation before turnover to the operations team.

  • Conduct additional supplier negotiations to improve costs or terms as opportunities arise.

Qualifications

  • Minimum of 3 years of experience in project, event, or meeting management, including at least two years in procurement.

  • Strong hotel buying experience and expertise in program/event budget management.

  • Knowledge of travel supplier operations, hotel capabilities, and domestic destinations.

  • Proven negotiation skills and success in managing client and supplier relationships.

  • Experience with program management systems, particularly online sourcing tools, preferred.

  • Ability to deliver win-win solutions and manage multiple projects simultaneously.

  • Strong technology aptitude and analytical skills.
