Job Summary

Loudoun County Family Services has an Internal Operations Team dedicated to working behind the scenes to ensure the department operates at its best, allowing them to serve the community effectively. The Senior Program Assistant performs confidential high-level administrative work in support of the Assistant Director. Under general direction, the Senior Program Assistant: *Manages the Assistant Director's calendar including scheduling appointments, prioritizing the most sensitive matters. *Supervises other Administrative Assistants within the Division. *Provides courteous and timely customer service to County staff, vendors, citizens, and other visitors; refers customers to appropriate staff. *Serves as backup Office Automation Coordinator managing computer assets inventory. *Prepares and tracks accounts payable documents such as requisitions, change orders, direct payments, travel expenses, and scanning and receiving documents. *Supports all departmental programs for special projects, various functions, and meetings. *Acts as a liaison between the Assistant Director and the organization's staff, other government employees, outside organizations, and the public. *Manages program data in databases and spreadsheets, and systems such as Salesforce. *Manages communication flow between the Assistant Director and other staff members. *Organizes meetings, including scheduling, sending reminders, preparing meeting agendas, and organizing catering and room setup, when necessary. *Exercises discretion and independent judgment in handling complex administrative tasks. *Provides administrative assistance, such as preparing, writing, and editing e-mails, memos, letters, presentation slides, and other items on behalf of the Assistant Director. *Maintains accurate and comprehensive records. *Supports the Children's Services Act program with operational tasks such as scheduling, purchase order entry, and referral processing. *Stays up-to-date on internal policies and procedures. *Places work orders for computer and facility maintenance. *Performs other duties as assigned.

Minimum Qualifications

High school diploma or equivalent; four (4) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.
