This position is located on the Peoria campus 170 miles southwest of Chicago. (On-Site Work - Not Remote).

Position Summary

The Business Administrative Associate in Obstetrics and Gynecology is responsible for overseeing the Department's day-to-day clinical and educational operations, including fiscal and supervisory management, administrative function, quality assurance, efficiency and productivity, analyzing data/reporting oversight and participating in long-term planning. The incumbent functions with initiative and authority under the direction of the Department Chair.

Duties & Responsibilities
  • Supports the Chair in the management of Department operations, providing direction in matters related to the clinical and educational practices, staffing, and financial performance. This includes identifying issues, gaps, goals, and opportunities for growth within the clinical, educational, research and fiscal areas; developing plans, policies and procedures to address; and implementing as directed; Strategic planning; Serves as a liaison between the Chair and faculty, including University administration, hospital administration, and Department staff;
  • Manages Department operations. This includes management of the Department's staffing and scheduling, such as creating and monitoring clinical schedules for the Department's physician faculty within the hospitals, resident clinics and attending clinics; revising and adjusting schedules as necessary to meet clinical and educational obligations;
  • Manage and oversee all Department fiscal matters, including drafting contractual needs, negotiating contracts, purchase order requisitions, compliance of Department purchasing and transportation credit cards (P-card and T-card); Verifies and reconciles Department expenditures; Coordinates with the appropriate fiscal and administrative Departments both internally and externally in process of developing and managing contracts, billing hospital affiliates for contract activity; Analyze monthly MSP reports; Manage, draft, and administer all contractual agreements, including provider service agreements with hospital affiliates, and outside clinical locations with regard to residency training sites.
  • Calculates and submits physician faculty variable compensation, including allowable reimbursements; Draft, monitor, and manage the Department's annual budget.
  • Responsible for the administrative aspects of recruitment, appointment, and promotion of faculty and staff members.
  • Oversee the Department's recruitment activities; represents the Department during recruitment process; coordinates offers and on-boarding process with human relations/ Dean's Office and other affiliate entities; Monitor and track all paid time-off, as well as maintaining and submitting AVSL; Data analysis for physician productivity; Serve as an administrative resource to faculty and staff as requested; deliver communications from the University and affiliate partners to faculty and staff.
  • Oversee and affirm the Department's compliance, both internally and externally. Internally, this includes all physician faculty and staff comply with all University-mandated training, such as Conflict of Interest, Title IX, Ethics, and the Heath Insurance Portability and Accountability Act. Externally, this includes physician faculty comply with necessary credentialing, maintenance of certification, and maintenance of privileges with the University, hospital and clinical affiliates, as well with the State of Illinois and federal government with regard to physician licensing.
  • Represents the Department at various internal/external meetings, including the UICOMP Medical Service Provider (MSP) meetings, Administrative MSP meetings, Department meetings, various Dean's initiatives meetings, and those involving hospital affiliates related specifically to Department operations.
  • Manages the coordination of the Department Grand Rounds
  • Perform other related duties as assigned or as needed; participate in special projects as assigned; provide


Minimum Qualifications

  1. Bachelor's degree in business administration, management, or a field related to the position.
  2. Two (2) years of professional business, financial, and/or managerial work experience.

    (NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
  3. Based on position requirements, additional education, training, and/or work experience in an area of specialization inherent to the position may be required.


Preferred Qualifications
Additional education, training, and/or work experience within a university, academic, or medical setting is preferred.

Knowledge of computer software programs in order to perform various, common tasks within each - for example, constructing a memo and letter writing in Word; performing calculations in Excel; preparing a PowerPoint presentation; sending and receiving email, including creating appointments using Outlook - is preferred.

Strong communication skills, both written and verbal preferred
