We Require
- Four years of experience performing progressively responsible office, administrative, or clerical duties
- One year of supervisory experience
- High School Diploma or GED
- Post-secondary education may substitute for the required experience on a year-for-year basis
Other Requirements The selected candidate must possess or be able to obtain a valid Arizona driver's license by the time of hire. We Also Value
- Associate's degree or higher
- Six years of experience performing office, administrative, and clerical duties
- Two years of supervisory experience
- Intermediate to advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
Job Contributions
- Provides oversight and performance management of staff, ensuring the timely completion of assignments.
- Audits workloads for accuracy and completion, including handling calls, mail, procurement card transactions, and case file reviews.
- Guides Administrative Specialists on complex calls and situations, ensuring compliance with County and departmental policies and procedures.
- Supervises all aspects of staff management, including recruiting, onboarding, training, developing, disciplining, and reviewing timecards.
- Directs meetings and conferences internally and with external stakeholders, representing the Public Fiduciary or addressing specific case needs.
- Maintains comprehensive knowledge of staff duties to ensure compliance with applicable rules, regulations, and laws.
- Composes and prepares correspondence, reports, and written materials for both public and private agencies.
- Monitors staff time and accountability, ensuring adherence to policies and identifying areas for process improvement.
- Mentors and coaches' administrative staff, fostering a collaborative environment and supporting professional growth.
- Addresses staff concerns and resolves conflicts, ensuring a positive and productive work environment.
Working Conditions Work includes interruptions, time pressures, high volumes of work, and handling multiple, unscheduled, or changing tasks. Constant need for accuracy, concentration, vigilance, and teamwork. Requires frequent public contact. May be required to lift (floor to waist, waist to shoulder, or shoulder to overhead), carry, pull, or push up to 30 pounds. Selection Procedure
