Description

The Leaves of Absence (LOA)Coordinator administers employee-qualified leave of absence programs, requests for accommodations, worker's compensation, COBRA, and OSHA reporting. In addition, the LOA Coordinator serves as backup to the Payroll Specialist. This position also participates in shared responsibilities of the HR team for large projects and supports an environment of continuous improvement that is compliant with all internal and external policies and regulations.

PRINCIPAL RESPONSIBILITIES AND DUTIES:



  • Administers all leaves of absence in compliance with federal, state, local, and international regulations, and company policies and leave programs.
  • Effectively coordinates and communicates with employees, managers, and HR team during LOA and other processes ensuring employees are aware of their responsibilities.
  • Facilitates the interactive process for accommodation requests under the ADA; counsels managers to ensure fair and consistent outcomes in compliance with ADA requirements.
  • Maintains a deep understanding of relevant federal and state regulations to ensure compliance and provide accurate guidance to employees, managers, and HR team.
  • Maintains files (electronically) including medical documentation, notes from meetings and interactions with employees, managers and other involved parties; initiates and tracks the progress of the case in relevant systems.
  • Updates timesheets and coordinates with payroll to resolve any pay discrepancies or issues in the handling of employee pay while on LOA.
  • Serves as the payroll backup and provides assistance to the Payroll Specialist.
  • Assists with benefits-related vendor invoicing, including review, coding, and reconciliation to ensure timely and accurate processing.
  • Coordinates and administers workers' compensation and unemployment compensation programs, including claims tracking and communicating with relevant parties.
  • Prepares and distributes OSHA documentation in an accurate and timely manner.
  • Provides general support to the HR team, including responding to employee questions, assisting with the coordination of HR sponsored events and employee communications.
  • Identifies and implements process improvements to create efficiencies and remain compliant.


SKILLS AND ABILITIES REQUIRED:



  • Experience in a high volume, fast-paced, and deadline-oriented environment with minimal supervision.
  • Demonstrated knowledge of related federal and state regulations, including but not limited to FMLA, ADA, and HIPAA.
  • Excellent communication and interpersonal skills, with the ability to convey complex information in a clear and compassionate manner.
  • Ability to think critically to resolve complex leave-related issues.
  • Strong organizational skills with exceptional attention to detail.
  • Previous experience with Human Resources Information Systems (HRIS), preferably UKG.
  • Proficient with Microsoft Office Suite of Products, with intermediate level skills in Excel.
  • Must be able to manage confidential information.


    MINIMUM LEVEL OF PREPARATION AND TRAINING NORMALLY REQUIRED:



    • A bachelor's degree in human resources, business administration, or equivalent experience.
    • 1-3 years' leave administration experience required.
    • Previous payroll experience preferred.
