THE SALVATION ARMY NORTH AND CENTRAL ILLINOIS DIVISION Wonderland Camp and Conference Center POSITION DESCRIPTION POSITION TITLE: Office Administrator LOCATION/DEPT: Wonderland Camp and Conference Center REPORTS TO: Assistant Camp Director-Operations FLSA CATEGORY: Non-Exempt STATUS TYPE: RFT PAY GRADE: 405 PAY RANGE: $19.97 - $23.96 DEPARTMENT MISSION The Salvation Army Wonderland Camp and Conference Center exists to support the ministry of the Salvation Army by providing the opportunity to experience Christ through focused programs in a natural, safe, camp conference environment. OUTCOMES Provide administrative support to camp management team with a focus on general accounts payable, accounts receivable, guest services and registration, office reception, handled according to established time frames. This individual relates to and interacts with a wide range of contacts both within and outside camp. ESSENTIAL DUTIES AND RESPONSIBILITIES
- This position is responsible for being the first point of interaction guests encounter upon arrival, the employee should be a courteous, kind, and professional representative of The Salvation Army Wonderland Camp.
- Responsible for the accurate bookkeeping and timely processing of all accounts payable.
- Prepare all invoicing items for approval and submission as needed.
- Responsible for preparing and processing all accounts receivables in a timely manner
- Responsible for accurate and timely submission of financial reports.
- Assist in handling deposits, petty cash and other banking needs
- Answer incoming phone calls in a professional courteous manner, routing to correct individual, take messages if needed.
- Prepare for incoming groups (pulling keys, making pamphlets, signs, etc.) Return keys and other items to proper inventory locations after guests depart.
- Assist Guest Services Manager with answering inquiries from potential guest groups using the approved Camp software provided, and other needs as required.
- Assist Camp staff and DHQ departments with summer registration of campers and volunteers, tracking annual grants progress and allocations using the approved Camp software provided.
- Greet office visitors in a professional, courteous manner, answering inquiries, receive packages, mail, etc.
- General office duties, including but not limited to: Checking voicemails and general email box and distributing messages, accordingly, maintaining postage machine and mailing, filing and scanning, and tending to the neatness and cleanliness of the office area.
- Assist with paperwork and billing for CCCA, ACA, documentation, and reports for camp accreditation processes as directed, meeting required deadlines.
- Assist with updating the Camp website as directed.
- Run errands as needed/directed.
- All other duties as assigned.
REPORTING RELATIONSHIPS This position reports to the Assistant Camp Director-Operations. In contacts related to this position's duties, this individual will act as a representative of The Salvation Army and its mission. PERFORMANCE MEASUREMENTS This individual will be evaluated on how effectively the outcomes of this position are achieved, as well as the timeliness, accuracy, and completeness of accomplishing assigned goals. EDUCATION/EXPERIENCE
- Minimum 2 years of college or related experience.
- Previous accounting or bookkeeping experience.
- Previous experience with non-profit organizations preferred.
- Experience with Microsoft Office Suite programs.

POSITION LIMITATIONS
- This individual will only commit Army resources that have been allocated or approved.
- This individual will keep the Assistant Camp Director - Operations informed on all critical issues related to their area of responsibility.
- This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.
PHYSICAL DEMANDS/WORK ENVIRONMENT
- This position is required to do light physical work and must be able to lift up-to 50lbs.
- To successfully perform the essential functions of this position, the employee is regularly required to use standard office equipment and a PC and related software.
- Work will be indoors in a temperature-controlled environment with potential high and low noise levels.
