The Executive Assistant provides administrative and technical support to the Vice Chancellor for Advancement under the direction of the Strategic Advisor. Coordinate day-to-day activities of the Office of Advancement, handling a broad range of inquiries and assignments. The position possesses project management skills, effective analytical and problem-solving skills, works well under pressure, and has the ability to handle complex and concurrent tasks. The position exercises initiative to achieve goals and objectives, maintains confidentiality and establishes and maintains positive working relationships.

What you will do:
Provide executive support to the Vice Chancellor of Advancement and members of the Advancement leadership group
Manage Office of Advancement administrative activities/projects
Curates and Prioritizes lists of key stakeholders for Chancellor engagement, guiding these lists through multiple layers of internal approval processes to ensure value adds for the Chancellor and campus, and collaborating weekly with the Chancellor's support staff to schedule and facilitate strategic donor interactions and initiatives. From start to finish, ensure seamless execution by tracking follow-through on action items, preparing detailed briefings and talking points for each interaction, and advising on the structure and content of events and meetings to maximize engagement and alignment with Advancement, Chancellor, and institutional goals.
Work with Office of Advancement and members of the leadership team to ensure office-wide execution of major initiatives and events
Conduct background & preparation research and compile information for upcoming meetings that include the Vice Chancellor and/or members of the Advancement leadership group
Track and follow up on action items from leadership meetings led by the Vice Chancellor for Advancement and/or by the Strategic Advisor
Manage special projects for to the Office of Advancement including but not limited to team retreats, campaign workshops, etc.,.
Manage and oversee Advancement's Standing Operating Procedures (SOPs). Facilitates the review of newly created SOPs and the annual review process. Ensures accuracy, relevance, and alignment with evolving organizational needs. Collaborates with key stakeholders and SOP architects to assess and update procedures, facilitate feedback loops, and incorporate improvements. Leads the organization and maintenance of a comprehensive filing systems for SOPs, ensuring easy access and efficient use for current and future reference.
Manage the Vice Chancellor's and members of the Advancement leadership group's calendars, ensuring that engagements are appropriately and sensitively prioritized and managed
Respond in a timely manner to all requests from various sources, both internal and external, for the Vice Chancellor's time
Coordinate meetings and events that include Vice Chancellor and/or members of the Advancement leadership group
Coordinate departmental agendas, support agenda planning, take notes, and track follow up for meetings that include Vice Chancellor for Advancement
Assist with managing expenses, preparing expense reports, reconciliation, and mileage/travel reports for Vice Chancellor and Assistant Vice Chancellors for Advancement under the direction of the Director of Finance & Administration
Provides back up office presence when needed
Performs all other duties as assigned
Qualifications you already possess (Minimum Qualifications)
Applicants must meet minimum qualifications at the time of hire.
Bachelor's Degree in business, public administration, communications, marketing, social science, or a related field from an accredited institution.
- 4+ years administrative support experience
Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
Preferred Qualification to possess (Preferred Qualifications)
At least three (3) years of experience working in a complex university environment with progressive responsibility
Experience with program or project management with ability to effectively lead a team to accomplish critical strategic objectives
- Experience with Concur, or similar procurement and travel software, CRM database, & Microsoft Suite
Knowledge, Skills, and Abilities
Knowledge of, or desire to learn, university policies and procedures, and ability to apply them
Strong attention to detail and organizational skills
Strong communication skills and the ability to work well with a wide audience
Proficiency with communication, word processing, spreadsheet, presentation, and scheduling software (such as Microsoft Outlook, Teams, Word, Excel, Access, PowerPoint, and Adobe Professional)
Ability to take dictation
Ability to manage executive email inboxes
Ability to interact and partner positively with students, faculty, staff, administrators, donors, and visitors
Ability to establish work priorities and adapt to changing needs
Ability to follow through to ensure completion of activities by the deadline established
Ability to communicate effectively with all levels of faculty, administration, staff and students in both a written and verbal capacity
Ability to manage complex, sensitive, and confidential information
Ability to cooperate and support other department staff in order to contribute to a productive work environment
Ability to develop office processes as needed
Ability to work both individually and as a team with the support staff for the Chancellors and other Associate/Vice Chancellors

Compensation and Benefits
The salary range (or hiring range) for this position has been established at $68,861 - $76,109.
The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
This position is not eligible for overtime compensation.
