Job Purpose
The Accounts Payable Business Process Owner (AP BPO) is a critical role within our organization, responsible for overseeing and optimizing the accounts payable processes within their designated region. This position requires a deep understanding of accounts payable functions and the ability to make informed decisions regarding process changes.
Key Accountabilities
- Process Management: Maintain and implement efficient and accurate processing of accounts payable transactions, including invoice verification, payment processing, reconciliation. This also encompasses the management of vendor master data.
- Change Request Assessments: Evaluate change requests to ensure solutions are robust and thoroughly tested, while carefully considering the implications and potential impact on overall business operations.
- Continuous Improvement: Identify opportunities for process enhancements and lead initiatives to improve efficiency, accuracy, and compliance within the accounts payable function.
- ITSM Monitoring, Prioritization and Communication: Oversee daily monitoring and prioritization of ITSM incidents, problems, and miscellaneous requests. Escalate appropriately to the Macro Process Owner & Governance Lead.
- Performance Monitoring: Monitor the performance and effectiveness of specific business processes in close collaboration with business teams.
- Document Management & Global SAP Template Deliverables: Maintain specific Global SAP Global Template solution deliverables, including:
a) Requirement's matrix
b) Process Definition Documents
c) WRICEF catalog
d) SAP Transaction list
e) WRICEF Functional Specifications
f) Business Process Guides
g) Business Process Procedures
- Monthly Meetings: Meet with key business team Super Users monthly to discuss updates, issues and training opportunities.
- Training Assessment: Regularly assess GSAP Super Users in the responsible region/area to ensure they receive appropriate training.
- Business Process Hierarchy: Maintain an accurate Business Process Hierarchy (BPH) for the responsible area/region.
- Reporting Strategy: Understand reporting strategy and define reporting requirements in line with available GSAP reporting tools.
- SOX Compliance: Support SOX audits and keep documentation current to ensure compliance within the area/region.
- Collaboration: Work closely with other Regional Business Process Owners to align and standardize processes across regions, fostering a cohesive and efficient process flow.
- Liaison Role: Serve as the key intermediary between the Center of Excellence and the regional business units, ensuring clear communication and effective implementation of best practices.
- Stakeholder Engagement: Build strong relationships with internal and external stakeholders, including vendors, to ensure smooth and timely payment processes.
Qualifications, Experience, and Skills
- Bachelor's degree in a related field; or equivalent experience
- Minimum of 2 years of Accounting/Finance experience
- In depth understanding of the in-scope business processes, typically in a managerial capacity
- Broad knowledge of the operations of these processes on the system
- Broad knowledge of the system processes invoked by business processes and how these are prioritized in the system
- Detailed knowledge of escalation procedures and criteria
- Excellent communication and inter-personal skills
- Meeting facilitation skill
