Overview:
We are seeking a highly organized and detail-oriented Research and Development Administrator to provide operational support for our R&D teams. This role requires strong communication skills and the ability to manage complex processes related to daily operations, procurement, event/meeting coordination, and communications.
Key Responsibilities:
- Employee Onboarding/Offboarding: Facilitate smooth transitions by managing tasks such as I-9 verification, IT account setup, building access, PKIs, and other onboarding/offboarding activities.
- Daily Operations Support: Assist employees with shipping/handling, travel arrangements, passport renewals, Client interface, office supplies, device management, expense reports, and timesheets.
- Procurement Support: Open purchase orders, liaise with procurement teams, and troubleshoot vendor-related issues.
- Expense Monitoring: Track costs, monitor expenses, and follow up on and drive open issues to closure.
- Vendor and Resource Management: Support vendor relationships, license renewals and new acquisitions, part stocking, timesheets, and cost tracking.
- Event and Meeting Coordination: Organize meetings and special events for the Buffalo Grove and Chicago offices.
- R&D Communications: Manage mailing lists and ensure the team is informed of internal and external updates relevant to R&D.
- Additional Duties: Provide support for other tasks as needed based on business requirements.
Qualifications:
- Bachelor's or Associate's Degree.
- Minimum of 3 years of administrative experience in a corporate setting.
- Excellent communication and collaboration skills, with experience interacting at all levels of management, employees, and external partners.
- Advanced proficiency in Microsoft Office applications.
- Ability to handle sensitive and confidential information.
- Strong problem-solving skills with the ability to research and implement solutions.
- Proven ability to prioritize tasks, manage deadlines, and multitask effectively.
- Experience working with tools and third-party support locally and globally.
Additional Information:
- Reports to the SI B Head of R&D Product Development and supports SI B X and SI B FIN management as needed.
- This is a hybrid position requiring 2-3 in-office days per week at the Buffalo Grove location, with occasional travel to the Chicago office (approximately twice per month).
