Program Coordinator - Allen Discovery Center

Overview

The Allen Discovery Center is dedicated to the advancement of basic biology and biomedicine, and to using an integrated approach to control biological structure and function. Through a combination of molecular genetics, biophysics, and computational approaches, researchers at the Center work toward a multi-level control of patterning. Novel technology is being developed to modulate the bioelectric communication that enables cells to coordinate their activities toward specific anatomical and functional end-states. This new type of epigenetic control has significant implications for developmental biology, evolution, unconventional computation, and synthetic bioengineering. Applications in progress include the repair of birth defects, regenerative medicine, cancer reprogramming, and synthetic biology.


What You'll Do

This is a part-time and benefits eligible position at 25 hours per week. This role can be performed fully remotely, and is also able to accommodate on-campus work based on preference.

We are seeking an organized, detailed orientated Program Coordinator, to work under the supervision of Emma Taddeo, the Center Project Administrative Director, and provide advanced administrative support and coordination for Professor Michael Levin and his lab at the Allen Discovery Center.

The Program Coordinator will work closely with the Administrative Director, handling the below:

  • Produces and maintains a variety of documents, reports, and spreadsheets.
  • Respond to inquiries and provide detailed information to Dr. Levin and constituents upon request and for ongoing reporting.
  • Responsible for maintaining several outward facing websites related to Dr. Levin and his work.
  • Manage tracking sheets relevant to important data within the lab, such as publication submissions, presentations, talks, and media communications.
  • With assistance, maintain personnel status within the lab, including staff, postdocs, Ph.D students and undergraduates.
  • Work with the Administrative Support Team to create, maintain, and update lab policies and other workflow documents.
  • Work directly with the publication submission team to coordinate materials through pre and post submission.
  • Aid lab members and outside visitors with conference and travel related expenses.
  • Appropriately submit relevant P-Card and T-Card purchase documentation.

What We're Looking For

Basic Requirements:

  • Knowledge and skills as typically acquired by an Associate's Degree with 3-5 years of administrative experience OR a Bachelor's Degree with 1-2 years of outward facing administrative experience
  • This individual must be explicitly detail oriented and extremely organized, with the ability to work independently and have excellent communication and interpersonal skills
  • Work experience with editing and outward facing websites and Microsoft products
  • Familiarity with varied office system applications

Preferred Qualifications:

  • Experience working at a university, in a research environment, or with scientists
  • Knowledge of Adobe PDF editing and form creation programs to create flow charts, org charts, flyers, etc.
  • Understanding of html coding for website updates
  • Experience in contributing to grant reporting via data information gathering
  • Experience with financial reimbursement programs (Apptricity, PeopleSoft, PaymentWorks)
  • Knowledge and ability to work in multiple data storing systems; Box, network drives, DropBox, SharePoint
  • Familiarity with federal grant and publication websites/portals

Pay Range

Minimum $26.70, Midpoint $31.80, Maximum $36.80

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
