The College of Natural Sciences at The University of Texas at Austin is seeking a talented and highly collaborative Development Associate to join our growing team.

UT Austin's largest college is one of the biggest science schools in the nation. We are home to 16 undergraduate and graduate programs ranked in the top 10 nationally, spanning the physical sciences, life sciences, computer science and mathematics. Among the college's faculty are 22 members of the National Academies and winners of the Turing Award, Wolf Prize, National Medal of Science and MacArthur Fellowship. About 390 tenured and tenure-track faculty members teach and undertake research in the college's 12 independent departments and School of Human Ecology, as well as at the McDonald Observatory in West Texas, the Marine Science Institute in Port Aransas, and the Lady Bird Johnson Wildflower Center in Austin. The college has the largest student population at UT Austin with 11,199 undergraduate students, 1,344 residential graduate students and 1,912 online master's students. The college has more than 80,000 living alumni.

Purpose

The development associate will provide professional and proactive administrative support for major gift officers' fundraising efforts, including a consistent focus on developing effective partnerships with assigned gift officers, fellow team members with high-level attention to detail and accuracy in support of our donors, students, and faculty.

This role partners with assigned gift officers to secure visits with donors, manage follow-up communications, including proposals, and support portfolio management. They will collaborate with the department's stewardship and engagement teams to support donor meetings, tours and events.

Responsibilities

Frontline Gift Officer Support

  • Provide administrative support for assigned development officers' fundraising, cultivation, engagement and stewardship activities, meeting coordination and prep/follow-up, proposal preparation and tracking, contact reports as required to ensure the efficient and effective movement of donors through the engagement process (i.e., qualification, cultivation, solicitation, stewardship).

  • Coordinate and prepare travel itineraries, arrange airline, hotel and rental car reservations and prepare, process and track travel and entertainment expense reimbursements for development officers in a timely manner.

Communications, Events, Donor Engagement and Stewardship

  • Assist with the development of meaningful communication with prospective donors including impact reports, news, invitations, etc., including drafting and proofreading presentations, talking points, impact reports, event invitations, news, etc.

  • Coordinate, plan and execute details and logistics for various internal and external donor and prospect meetings, campus visits/tours, campus tours, luncheons and events to include prospect and donor research, individualized donor stewardship projects, and various forms of donor outreach as needed.

  • Support annual stewardship activities and special donor, planned giving, corporate and foundation relations projects.

Other related functions and duties as assigned.

  • Work collaboratively, proactively, and in a professional, service-oriented manner with all university development staff to further the development goals of the university.

Required Qualifications
  • Bachelor's degree and one year of administrative support experience. Relevant education and experience may be substituted as appropriate.

  • Prior experience with fundraising programs, non-profit organizations, or performing complex administrative functions is desired.

  • Strong relationship building and organizational skills, attention to detail, project and time management skills, ability to manage multiple complex administrative functions tasks and handle pressure under tight schedules are necessary to be successful in this position.

  • Excellent verbal, written and interpersonal communication skills.

  • Ability to manage internal and external relationships with the highest level of customer service to maintain strong relationships.

  • Experience in managing schedules, coordinating logistics and composing and/or editing correspondence.

  • Demonstrated ability to multitask, reprioritize and be flexible in a fast-paced, changing environment.

  • Ability to use discretion and maintain integrity and professionalism.

  • Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Experience with fundraising database and knowledge of prospecting tools and reports within fundraising systems or other prospective donor relations systems.

  • Demonstrated experience interacting with alumni, and donors as well as with university administrators, providing good client and customer service in a collaborative, proactive and professional service-oriented manner.

  • Working knowledge of University of Texas at Austin systems, policies, and procedures.

  • Proficient in MS Outlook, Adobe Pro, Smartsheet, Excel/pivot tables and reporting

Salary Range

$50,000

Working Conditions
  • This position is required to be on the UT-Austin campus.

  • Work is performed in a typical shared office environment

  • Repetitive use of a keyboard at a workstation.

  • Evening, weekend, and holiday work outside of normal business hours may be required on an occasional basis.
