What you will do:

This role is instrumental in planning, managing, and improving alignment between the different functions that lie within the Strategy and Acquisition Office (SAO). You will provide high-level administrative support to finance and strategy leaders, facilitating their priorities through effective calendar management, travel coordination, expense report processing, and maintaining confidentiality of sensitive information. You will drive operational alignment, change management, and issue resolution and the ideal candidate is a proactive self-starter who can work independently.

How you will do it:

  • Support the VP & Head of Corporate Development, VP Global Strategy and Business Development, and other leaders with administrative tasks, including drafting correspondence, creating presentations, processing expense reports, coordinating meetings, and managing travel arrangements.

  • Manage and prioritize calendars for senior executives to optimize time and task efficiency.

  • Coordinate domestic and international travel, including flights, accommodations, and itineraries.

  • Collaborate with finance and billing teams to oversee monthly accrual processes and track budgets effectively.

  • Manage and process purchase orders, coordinate vendor setup, approve invoices, and act as a billing liaison while resolving issues as needed.

  • Organize, modify and maintain all team SharePoint and Teams sites for tracking projects.

  • Coordinate contracts and billing matters for virtual data sites, certain license providers and other various vendors and consultants.

  • Maintain intake process for M&A opportunities.

  • Apply a solid understanding of business drivers to enhance team integration and workflow.

  • Organize in-person events such as team meetings and external gatherings.

  • Handle sensitive information with discretion.

  • Provide general office administration, including onboarding new employees, answering inquiries about processes and tools, and liaising with IT and facilities management.

What We Look For:

Required

  • Bachelor's degree or high school diploma/GED with 6+ years of corporate executive assistant experience, preferably in a global role.

  • Strong written and verbal communication skills, with fluency in English.

  • Proven project management skills, with the ability to plan and achieve tactical and strategic goals.

  • Exceptional organizational skills, capable of managing multiple tasks and meeting deadlines.

  • Adaptability to changing priorities and business needs.

  • Proficient in Microsoft Word, PowerPoint, Outlook, and Excel, with the ability to create correspondence and presentations.

Preferred:

  • Excellent interpersonal skills, capable of engaging with senior management and high-profile clients.

  • Strong self-starter with the ability to work independently and collaboratively.

  • Highly organized with attention to detail while managing multiple priorities. Proactive in anticipating needs and proposing solutions.

  • Strong problem-solving and decision-making skills.

This is an onsite role at our Glendale, WI office. You will need to be in office Monday-Thursday with option to be remote on Fridays.
