Senior Reconciliation Specialist, Business Office
American Public Education, Inc.

The Senior Reconciliation Specialist, Business Office is responsible for supporting the reconciliation and recording of transactions between information systems and accounts receivable subsidiary ledgers in the accounting system. This role will also be responsible for various account maintenance activities to support consistency across the systems. Activities include cash processing and application, refund processing, and reporting, receivables, research inquiries, and customer service for various types of funding. This role supports training and provides input regarding new employees and performance of team members. This position requires excellent customer service and problem-solving skills.

The Sr. Reconciliation Specialist, Business Office reports directly to the Manager, Business Office. This role works very closely with the Analyst, Business Office on day-to-day processing, system reconciliations, and month-end reporting. The position has no direct reports.

Responsibilities:



  • Run system-generated and control reports daily, reconciling activity between information and accounting systems to identify successful and missing transactions.
  • Use sound judgement to remedy any transactions that require maintenance between systems.
  • Assist with collection, processing, and posting of payment information to include credit card, electronic funds transfer (EFT), and check payments as well as refund and sales invoice processing.
  • Assists with and reviews daily reconciliations of cash and accounts receivable transactions.
  • Assists with research and clean-up to include past due invoices and payment issues.
  • Reviews and approves proposed account adjustments required to ensure account accuracy providing feedback as necessary.
  • Assist with the coordination of A/R month-end close processes to include, but not be limited to, coordinating with IT, generating and creating required reports, analysis, and review.
  • Works with customers on any escalation resolution providing proposed solutions.
  • Assist in increasing operational efficiency by identifying areas for performance improvement and recommending enhancements.
  • Maintain current SOP and Training documents.
  • Participates in user acceptance testing of system enhancements and projects, including annual reporting.
  • Works closely with, and provides back-up for the Analyst, Business Office on all processes.
  • Provides input on, and at times coordinates, Specialist training, reviews, and work performance.
  • Communicates workflow trends to the Analyst, Business Office and Manager, Business Office
  • Ensures compliance with the Sarbanes Oxley Act (SOX) and relevant regulatory body guidelines.
  • Assists in compiling of audit support for internal and external auditors.
  • Performs other duties as assigned.


Requirements:

  • Bachelor's degree preferred.

  • Advanced problem-solving skills.
  • Overtime and weekend work as required.
