Essential Job Functions

  • This position is multifaceted with responsibilities including office managerial and procedural responsibilities as well as HUB coordinator responsibilities.
  • Assists the Design & Construction team in effective accomplishment of the department's goals and stated mission.
  • Responsible for organization and maintenance of filing system as defined by the Design and Construction team
  • Serves as a liaison between other departments, contractors, architects and the public
  • Assigned to take on special tasks as assigned by the Director of Design and Construction
  • Draft reports and materials requiring extensive research and interpretation
  • Develop, implement, and revise work procedures, contracts and other necessary forms as required
  • Collects monthly timesheets and submits to Facilities Management Personnel Administration Manager for all Design and Construction employees (SHRA)
  • Manage motor vehicles assigned to department and purchase supplies and equipment
  • Responsibilities of the HUB Coordinator include maintaining and submitting HUB reports to General Administration office; entering and maintaining all project information for HUB into the online HUBSCO construction reporting system in accordance with senate bill 914
  • Provides support to Project Managers with capital projects' correspondence with contractors/vendors including invoice processing and vendor maintenance
  • Assists with facilities coordination and event coordination
  • Processes capital project payment applications/invoices as well as update Interscope/AIM financial and HUB data
  • Reconciles departmental budget each month

Knowledge, Skills, & Abilities Required for this Position
The University HUB Coordinator & Financial Program Specialist will provide administrative assistance to Planning, Design and Construction staff, maintain office procedures, serve as first point of contact and University liaison regarding campus construction, and to serve as the University HUB coordinator. This position directly reports to the Director of Planning, Design and Construction.

Areas of assignment include:

  • Support of capital project development and financial data input into various databases,
  • event coordination,

  • HUB program oversight,
  • office managerial and procedural responsibilities,
  • organization and maintenance of filing system as defined by the Planning, Design and Construction team,
  • serves as liaison between other departments, contractors, architects and the public, assigned to take on special tasks as assigned by the Director of Planning, Design and Construction drafting reports and materials requiring extensive research and interpretation.
  • Position requires functional knowledge of AIM and Interscope databases.
  • Ability to thoroughly understand the University mission, policies and procedures, to analyze these and make recommendations for improvements for efficiency and accuracy.
  • Ability to review contracts, analyze and report on success of program.
  • Ability to modify processes to ensure compliance and accuracy.
  • This position must be knowledgeable in the processes of reconciling departmental budget each month.

  • Excellent organizational skills and attention to detail
  • Knowledge of Microsoft Office Suite (Word, Excel, Power Point)
  • Knowledge of Google Workspace (Gmail, Docs, Sheets, Calendar)
  • Experience with University software programs (Banner, Chrome River, Yomart, Bank of America Works (P-Card), AIM)
  • Experience using Interscope
