Assistant Director of Donor Relations

As part of the Donor Relations team within the Mass General Development Office, the Assistant Director will play an integral role in the management of donor-established named positions including MGB Endowed Chairs/Scholars and Harvard Medical School (HMS) Endowed Professorships. In addition, the Assistant Director will support Donor Relations colleagues with the implementation of donor recognition for capital donors and annual endowed fund financial reporting.
Reporting to the Director of Donor Relations for Fund Management and Compliance, the Assistant Director will track nominations and renewals of named position incumbents; create and run reports; track metrics; assist in event planning for inaugural celebrations; draft nomination letters, internal communications, and guidelines, and create stewardship deliverables. The Assistant Director will also serve as a Donor Relations liaison with Development and hospital colleagues. The Assistant Director will track and support the implementation of capital naming recognition opportunities, including the production and installation of related plaques, lettering and signage. The Assistant Director will support the Director in the annual development and delivery of endowed fund financial reports through the digital platform Ovrture.
The ideal candidate for this role is highly organized, detail-oriented, adept with database operations, and can successfully work both independently and as a core member of a customer service-oriented team. The candidate will be able to anticipate needs and complete tasks proactively, following proper training. Primary Responsibilities
*Track fundraising effort details for faculty and administrative leadership positions and HMS Professorship funds in collaboration with the Director, Fund Management and Compliance, and the Senior Director, Donor Relations
*Draft gift terms for new named positions
*Collaborate with the Donor Relations team to monitor and set up new donor-established faculty and administrative leadership position fund accounts
*Draft, vet, and submit incumbent nomination letters
*Process and track incumbent renewals
*Coordinate with the Special Events team to prepare materials for celebration planning meetings for MGB Endowed Chairs/Scholars and HMS Professorships
*Order celebration gifts for donors and incumbents and coordinate post-celebration gifts for donors
*Create, maintain and enhance training materials, resource guides, and toolkits tailored for gift officers and hospital faculty, and brochures and communications for prospects and donors
*Oversee the installation and maintenance of plaques, lettering and signage in partnership with the Director, Donor Relations, coordinate with vendors, facilities and departments on named space relocations, renovations and new installations
*Prepare and regularly update planning documents and progress reports on plaques and lettering signage
*Assist in drafting content for annual endowed fund financial digital reporting via the Ovrture platform and become adept at navigating the platform to assist with building and delivery of reports
*Participate in professional development opportunities, including internal volunteer or job shadowing roles when appropriate
*Contribute to maintaining positive office morale, even in the face of high work volume and challenging periods
*Take on other office-wide duties as needed
*Adhere to the mission, credo, and standards of behavior of Mass General

Qualifications

This position requires 3-5 years of experience and a college degree. In addition, the ideal candidate will possess the following skills, abilities and attitudes:

  • Proficiency with Blackbaud CRM and Giftmap (naming opportunities mapping tool) or similar CRM fundraising database and naming opportunity inventory system preferred
  • Familiarity with Ovrture (digital stewardship platform), or a similar digital reporting platform, a plus
  • Experience with design software (i.e. InDesign, Photoshop, etc.), preferred
