The UCI School of Medicine is dedicated to advancing medical knowledge and clinical practice through scholarly research, education, and high-quality clinical care. The School oversees the education and training of medical students and graduate students at the UCI School of Medicine. Your Role on the Team

The Dean's Office Finance Operations Manager reports directly to the Controller, School of Medicine. The Finance Operations Manager has responsibility for oversight of the financial management for accounts and business transactions in the School of Medicine Dean's Office Units. The incumbent understands and applies generally accepted accounting principles, cost accounting standards, and University policies and procedures. The incumbent provides direction for and supervision of the School of Medicine Finance Operations Unit. The incumbent is responsible for developing and implementing systems to ensure efficient operation of all business functions while remaining in compliance with university policies and procedures. The incumbent performs policy and procedure review for School-wide business transactions requiring Dean's level approval. The incumbent must be able to adapt to a continually evolving, fast-paced environment, demonstrating both the autonomy and collaboration skills needed to advance the unit's purpose and to inspire confidence by internal and external stakeholders.

The Finance Operations Manager exercises maximum initiative and sound leadership within the parameters of school and university policies and regulations to accomplish the goals and objectives of the Dean's Office. The incumbent develops and determines innovative solutions and implements actions to resolve issues. This position acts as a liaison between the Dean's Office Finance Operations Team and Dean's Office units, School departments, and Campus offices. This position models strong professional ethics, exercising tact and diplomacy when handling sensitive and complex matters in a fast-paced environment.
The incumbent is responsible for overseeing the team responsible for vendor contracts and maintaining accurate records and documentation in support of Dean's Office purchases.

The Finance Operations Manager works on problems of diverse scope where analysis of the issues requires evaluation of identifiable factors. The incumbent must demonstrate good judgment in selecting methods and techniques for obtaining solutions. This position cultivates internal and external customer relationships.


What It Takes to be Successful

Required:

  • Advanced knowledge of financial transactions and financial systems, as well as related policy, accounting and regulatory compliance requirements.
  • Demonstrated skill to organize tasks, prioritize, and complete assignments when faced with heavy and diversified workload, deadlines, and demanding requests for service in an environment of frequent interruptions and/or distractions.
  • Proficiency in the advanced usage and functions of spreadsheet and database software.
  • Strong interpersonal skills, service orientation, ability to multi-task effectively in a varied, high-volume environment, judgment and decision making, reasoning, ability to develop original ideas to solve problems, and effective verbal and written communication skills.
  • Strong knowledge of human resources policies and procedures.
  • Ability to manage changing priorities and manage staff time and efforts accordingly.
  • Thorough knowledge and understanding of internal control practices and their impact on protecting University resources.
  • Ability to handle highly sensitive and confidential issues that require independent judgment and strict discretion and maintain strict confidentiality of privileged information.
  • Excellent interpersonal skills to establish and maintain professional working relationships.
  • Bachelor's degree in related area and / or equivalent experience / training
  • A minimum of 7 years of experience
  • Previous experience leading or supervising a team

Preferred:

  • Experience in an academic institution.
