Position Summary/ Department Summary:
The Department of Pediatric Radiology provides a full range of imaging services for newborns, infants, children, teenagers, young adults, and pregnant women at Boston Children's Hospital and our satellite clinics in Lexington, North Dartmouth, Peabody, Waltham, and Weymouth. We provide individualized care for each patient to obtain the highest quality images and ensure the most accurate diagnoses using the most sophisticated imaging equipment available.

Key Responsibilities:

  • Lead and direct administrative support services for the department
  • Plan work schedules to ensure adequate administrative coverage
  • Recommend and assist with implementing departmental policies and procedures
  • Monitor and maintain sensitive administrative and financial recordkeeping systems
  • Oversee data entry, validate accuracy, and compile reports from databases and spreadsheets
  • Reconcile budgets and department expenses; investigate and resolve discrepancies
  • Prepare materials and data for annual budgets and grant applications
  • Track personnel actions and initiate related forms and documents
  • Process and route purchase orders, payment requests, and reappointment forms
  • Coordinate fellowship/residency programs and related training grants
  • Manage credentialing, licensure, and appointment documentation
  • Organize seminars, conferences, and events; handle logistics and promotional materials
  • Schedule meetings and appointments; maintain supervisor's calendar
  • Arrange travel, including flights and accommodations
  • Monitor department supply inventory and computer equipment
  • Serve as liaison to support departments for service coordination
  • Transcribe and type correspondence, reports, and confidential documents
  • Proofread and edit materials for accuracy and clarity

Minimum Qualifications
Education:

  • High school diploma or GED required.

Experience:

  • Minimum of two years of administrative work experience required.
  • Work requires the analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.
  • Work requires the ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.

Schedule: Monday-Friday, 8:00AM-4:30PM, Hybrid (3 at home, 2 from office- this is flexible and may require more in person on occasional basis)
