Job Summary

Works closely with the Center's administrator to ensure the daily administrative operations of the Center for Children and Families (CCF). Assists the Principal Investigators (PIs) with the implementation of the Center for Children & Families (CCF) activities.

  • Manages the schedule and day to day operations of the front desk area.
  • Oversees day to day function of Electronic Medical Record system, including updates and enhancements, and training
  • Provides oversight of clinic billing and invoicing, including insurance and contracted services. Ensures the billing and invoicing process is completed accurately and in a timely manner. Ensures records related to billing and balances are accurate in the EMR.
  • Provide reports related to the CCF practice, such as numbers of patients served and revenues generated.
  • Works with others to maintain CCF databases, including client databases, staff directories, and other organizational lists.
  • Processes and tracks clinic Accounts Receivables
  • Assists in the implementation of CCF activities, such as events involving clients and/or staff/faculty
  • During the Summer Treatment Program recruitment season, practice manager will work on setting financial agreements and payment plans with participating families
  • Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
  • Develops and creates written procedures for the clinic, related to our clinic workflows and financial processes. This is in addition/difference to HIPPA policies and procedures.
  • Serve as primary liaison with the entity that does credentialing for our clinic. Responsible for coordinating the completion and submission of the various documents that have to be secured for each provider, as needed.
  • Conducts monthly reviews of the transaction codes used by our various providers, to help us ensure that we are using the correct transaction codes for our services.
  • Manages the schedule and day to day operation of the patient referral and enrollment specialists.
  • Performs essential duties in any emergencies such as hurricanes, storms, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
  • Process payment card processing and/or access to sensitive payment card data. Process cash/checks/cash equivalents, gift cards/participant payments, Serves as the University's credit card user for departmental transactions. Adheres to University's rules and regulations.
  • Handles sensitive cardholder information and/or processes credit cards transactions for the department/unit
Minimum Qualifications

Bachelor's degree in business, healthcare, or related discipline, and four (4) years of management experience in a medical office and/or healthcare environment.

  • Ability to communicate in Spanish.
  • Experience supervising a team.
