ABOUT THE JOB:

As a Coordinator on the WillScot team, you'll play a pivotal role in the recruitment process, ensuring a seamless experience for both candidates and internal stakeholders. You'll collaborate closely with Recruiters, Candidates and Hiring Managers to coordinate all aspects of the recruitment life cycle from job posting to the onboarding handoff. The role also supports our Inclusion, Diversity, Equity, and Accessibility (IDEA) work and employee groups with a variety of projects that they deliver throughout the year. (Please note this will be an onsite role in our Phoenix Arizona Headquarters, located near 44th and Van Buren, with a hybrid option)

WHAT YOU'LL BE DOING:

Talent Acquisition Coordination



  • Schedule and manage interviews across multiple calendars, ensuring a seamless experience for candidates and hiring teams.
  • Communicate with candidates and interviewers, providing timely updates and managing their experience related to scheduling of interviews
  • Audit job postings and updates across platforms, ensuring compliance with internal branding and external compliance requirements.
  • Maintain applicant tracking systems (ATS) by updating candidate records, managing requisitions, and generating reports as needed.


IDEA Coordination



  • Support IDEA initiatives and events, including logistics, communication, and materials preparation.
  • Update and maintain IDEA content on platforms; partnering with our Creative + Communications teams to share both internally and externally .
  • Assist in tracking and reporting metrics related to IDEA programs and outcomes.
  • Collaborate with Employee Groups to coordinate activities, share updates, and facilitate engagement.


Administrative Support



  • Organize and prepare materials for recruiting and IDEA meetings, training sessions, and events.
  • Handle purchase orders, budget tracking, and vendor coordination related to Recruiting and IDEA initiatives.
  • Support special projects within the HR department as needed.

EDUCATION AND QUALIFICATIONS:

  • Demonstrated passion for DEI and a commitment to fostering an inclusive workplace.
  • 2+ years of experience in administrative support, recruiting coordination, DEI, or HR operations.
  • Experience with enterprise ATS platforms, HRIS systems, and calendar management tools; SAP and Grayscale preferred.
  • Strong organizational and multi-tasking skills with the ability to manage competing priorities.
  • Ability to work in a fast paced and deadline/deliverable driven role.
  • Proficiency in Microsoft Office Suite and familiarity with collaboration tools.
  • Knowledge of federal and state laws and regulations related to employment is ideal.
  • High attention to detail and ability to maintain confidentiality.
